This article describes the process for creating a Value Transaction and then sending a Deposit Request to QuickBooks. Refer to Entering Value Transactions for settings that must be in place for the Deposit Request toggle to be accessible in Neos.
To create a deposit request:
Open the Value tab in the desired Neos Case.
Select the Value item or add a new Value item that needs to be credited.
Click the plus icon
to enter a new payment or adjustment transaction on the Add Transaction window. Transactions can also be added from the Value Tab List View.
To access the Create a Deposit Request toggle, the Value Code of the selected Value item must be set to "Credit" in the Value Codes Mini Directory and the Amount must be greater than $0.
4. Click the Save button to record the transaction. To add additional transactions for this Value entry, click the Save and Add Another button. If the Create a Deposit Request option is selected, a new Add Transaction window will display behind the Add Deposit Request window.
5. Information from the Add Transaction window will populate the Add Deposit Request window. Select the appropriate QuickBooks Company, Debit Account, and Credit Account fields. The Debit Account is the bank account where the deposit is going. The Credit Account is the liability or expense account. Payor, Value Code, and Staff Requested are required fields.
NOTE: If preferred, the Company and Debit/Credit accounts can be selected or changed in the QB Integrator prior to posting to QuickBooks, however, these fields are mandatory in the Integrator. Account character requirements have been updated in Neos to align with QuickBooks so deposit requests can be created using all accounts and subaccounts that exist in QuickBooks SDK to post deposits as normal.
6. Click Save to send the deposit request to the Deposits Queue in the QB Integrator.
NOTE: The Value entry will be locked from editing after the full amount has been billed. Partial requests, even after a check number is posted back to Neos, will not lock the Value entry. Value entries with one or more deposit requests cannot be invoiced and will show the following error.
7. A confirmation will display in Neos when the Check Request has been created.
8. To open the queue and verify the deposit request is pending, click the Deposits tab in the upper left corner of the Integrator main screen.
NOTE: Changes made to the Memo field of the Value Entry will sync to the deposit request "Memo" field in the QuickBooks Integrator, only if it has NOT been posted to QuickBooks.
