Microsoft Office 365 Firm Activation

Neos is now fully integrated with Microsoft 365. This means that your Outlook Calendar is accessible directly from your Neos Calendar. When linked properly, any appointments that appear on your Outlook Calendar will simultaneously appear on your Neos Calendar.

This article details the requirements and steps for configuring Microsoft 365 with Neos. These steps must be completed by your Firm Administrator.

NOTE: If your firm has enabled multifactor authentication (MFA) for Microsoft 365, Office 365 will need to be reactivated in Neos.

The integration MUST be completed by your Neos Firm Administrator/Microsoft 365 Administrator. They must have full administrative permissions to General > Interfaces in order to access and change Integrations.

The administrator needs to create a new Microsoft 365 global admin account (e.g., [email protected]). The global admin account does not need to have a product license attached. They should also have access to the login credentials.

As this is the account that will be used to link Neos with the Microsoft 365 Admin tenant and used as the organizer in certain situations, it should be a new global admin account created specifically for Neos rather than a user that has been given global admin privileges. User accounts are more likely to be disabled due to staffing changes or have rights reduced by IT staff. Furthermore, user accounts have a higher probability of being compromised due to a higher number of sign-ins compared to a new global admin account which will rarely have a new sign-in after the initial setup.

  1. Open a new incognito window in your supported browser.

  2. Log in to Neos with your personal credentials.

  3. Select Settings > Integrations and click the Office 365 option from the left pane.

  4. Enter the global admin account (e.g., [email protected]) into the required field. If an account has already been connected, it will display above the email text field.

  5. Click the Sign in button to connect Neos to your firm's Microsoft 365 account.

  6. A separate Microsoft login window will display with the Firm's global admin email pre-populated (as entered in step 4). Enter the password for the new Microsoft 365 global admin account that was created and click Sign in. You may be prompted to verify your identity using your Microsoft Authenticator app, verification code, text, or call. You may choose to stay signed in to Office 365 by clicking Yes or No. When either option has been selected, the window will automatically close and you will be returned to Neos.

NOTE: It is recommended that your firm's Outlook 365 calendars be configured to have editor rights to everyone inside the organization. Refer to Share your calendar in Outlook on the web (Change calendar sharing permissions) for details on setting Can edit permissions for staff calendars.

For stricter calendar permissions, Neos also supports the Can view all details option, which prohibits changes to other staff's calendars.

Neos does NOT support the Can view when I'm busy permission, which is the default Outlook calendar setting. This permission will result in a blank calendar in Neos. To avoid this situation, set the Neos-supported Office 365 calendar permission (above) that best aligns with your firm.

Migrated Calendar Entries from Needles and the Outlook Calendar

For customers migrating from Needles, the Neos Calendar displays both Needles appointments and Outlook appointments. This means that firms migrating from 4.x or 5 that used the Needles Calendar will see all their appointments in the Neos Calendar.

For all customers, new appointments are only created in the Neos Calendar when a Microsoft 365 email account is activated using the instructions above. Any calendar entries that are only in the Neos Calendar, due to either coming from Needles 4.x/5 or created before an email account is activated, will synchronize with the Outlook Calendar after email account activation on an appointment basis when the appointment is updated in Neos.
