Cases can be created in Neos using the Create button on the top navigation bar or from an Intake.
NOTE: You must have Add permissions to Case > Case Tab to create a new Case in Neos.
To enter a new case:
Click the Create button on the top navigation bar.
Select the Case option.
Select the appropriate Case/Matter type from the Case Type Selection window and click the Save button. A filter row has been added to quickly find a Case Type by typing a fragment of the Case Type Code, Header, or Description. Any column can be filtered using: Contains, Not Contains, Equals, Not equal, Starts with, and Ends with. "Contains" is the default filter.
The Case/Matter type that you select determines the type of Case information that is entered, as well as the Checklist items that are attached to the Case. [screenshot]
Neos intuitively selects the appropriate search criteria from your current location in the program. Use the Select Contact window to search for an existing name in your Neos database or add a new Party.
If the name of the desired Party DOES exist in your database and the search is triggered (by clicking the magnifying glass or hitting the ENTER key), click the Select button to insert their name as the first Party in the new Case.
A new Case Folder will be created with the selected name as the first Party in the Case using the designated Case Type.
If the name of the desired Party does not currently exist in your database and the search is triggered (by clicking the magnifying glass or hitting the ENTER key), an option to Add a Party will display.
Click the Add a Party button and follow the prompts to create a new Party. Refer to Adding a New Party for details on adding a new Party to the new Case and into Neos.
Click the No button if the Party is a company.
Click the Yes button if the Party is a person.
Click the Cancel button to abort the Add New Party and New Case process.
6. The Case Folder tab (above the Case Folder Header) will display the title, "Creating new Case (<selected Case Type>)" until the new case is saved. The Opened date defaults to today's date. Review Entering Case Tab Information for details on specific fields in the Case Tab and Case Folder Header for how information is displayed.
7. At this point, only the Party Tab in the new Case will be enabled. To access the other tabs, add the required Full Name/Company Name and Role fields (and any other desired fields) and click the Save button.
8. When the new Case is saved, the Party name will display in the Case Folder tab. The auto-generated Case Number displays in the Case Header. The next sequential Case/Intake number will be automatically assigned for this new Case. Cases and Intakes are assigned consecutive numbers as they are entered into the system, beginning with the number 200001.
NOTE: The next sequential number assigned takes into account any Needles intakes that were converted if your firm migrated to Neos. The SQL Server database also determines the Case Number sequence. When it is restarted, as expected with general maintenance, the numbering can skip when the next entry is made. This is rare but expected behavior.
The Case Tab will automatically display, allowing users to immediately enter important case dates, assigned staff, and other case details (e.g., Court and user-defined fields). Both the Party and Case Number can be used to locate the Case throughout Neos.
NOTE: The Case Folder file, which stores all documents related to the Case will not be created in your firm's SharePoint CaseFiles document library until at least one document has been added to the Case Documents Tab in Neos.
