Customize Intake Statuses (Plat)

The Neos enhanced Intake offers standard stages and statuses. As a NeosAI Platinum subscriber, your firm can also customize statuses for each stage.

The Stages & Statuses tab in Intake Settings allows you to create an unlimited number of custom statuses that your firm deems appropriate for Intakes, define any status as qualified (win) or unqualified (loss) to track lead conversion at every stage, and build reports and dashboards to track and group Intakes by different stages and statuses.

NOTE: You must have the proper permissions to Intakes > Intake Status (Plat) to access and customize Intake statuses.

To access the Intake Statuses:

  1. Click the Browse Intakes icon

    from the left navigation pane.

  2. In the Browse Intakes tab, click the Intake Settings

    button at the bottom of the left pane.

  3. Select the Stage & Statuses tab in the Intake Settings pane.

Your firm's list of standard Intake Stages and Statuses will be listed. Use the carrot icon next to each Stage to collapse

or expand

each Stage.

Statuses can be rearranged, which is the order they display in the Stage & Status dropdown on an Intake and the Stage/Status filter in Browse Intakes. When hovering over the double lines icon

to the left of a status, use the hand icon

to reorder that status within the current Stage.

Add Status

To add a new status to any of the five stages, click + Add status, located at the bottom of each Stage. A new row will display where you can set the status title, whether it is Qualified, Unqualified, or In Progress, and if it is active.

  • Status Title – Double-click the space of the new status to enter a unique status title. Title is required to Save changes.

  • Qualified / Unqualified – Use the dropdown to select whether the status is Qualified (won), Unqualified (loss), or In Progress. Refer to Intake Stage & Status for examples of how each can be used in a certain stage. This is a required field to Save changes.

  • Active – Click the check box to mark the status active or inactive. New statuses are inactive by default.

NOTE: If an Intake Status becomes inactive, the Intake will keep the original Status name. However, the inactive Status will not be accessible in Advanced Search (reports) or the Stage/Status filter in Browse Intakes. Once the status of an Intake is changed, the inactive status will no longer display in the Stage & Status dropdown on an Intake.

Delete Status

Statuses that are NOT in use can be deleted from your firm's Intake Settings > Stages & Statuses Tab. If an Intake is currently set to that status, it will be marked inactive. See the note above about inactive statues.

To delete an Intake Status:

  1. Hover over the Status you wish to delete and click the trash icon.

  2. Confirm your intention on the Delete item(s) message.

  • Click the Yes button to delete the Intake Status. It will be removed from the Stage/Status filter in Browse Intakes and the Stage & Status dropdown on an Intake.

  • Click the No button to abort the Intake Status deletion.

3. Click the Save button to save all changes.

4. If an Intake is currently set to this status, it cannot be deleted and will be marked inactive.

5. Click the Close button to proceed and save this change.

Hide Stage

If all Statuses in a Stage are removed or marked inactive, that Stage will be hidden from the Stage/Status filter in Browse Intakes and the Stage & Status field in the Intake detail view. This is useful for stages that your firm doesn't use and helps avoid confusion during the progression of an Intake.
