Browse Documents is a list of all documents that have been added to your firm's Neos database across all Cases, Intakes, and Providers. Specific documents can be located using filters.
Transitioned Clients Only: When initially accessing Neos, you must first open the case that contains the document(s) to be viewed before they can be opened from Browse Documents.
NOTE: Browse Documents has been optimized to quickly load your firm's documents.
Click the Browse Documents icon
in the left navigation pane to browse the full list of documents in your Neos database (from Cases, Intakes, and Providers).
The Open in SharePoint button will open a new tab in your browser with the linked SharePoint Site (e.g., CloudDocs) > Case Folders (e.g., CaseFiles) where all case documents can be accessed. This is a shortcut to your firm's SharePoint Site configured in Firm Preferences.
The Import Unfiled button will open the File Documents tab, which contains documents that live in your firm's SharePoint > CaseFiles > "To Be Filed" folder. These are documents that have been added to SharePoint but do not yet exist in a Neos Case or Intake. A counter will display on the top right of the bottom showing the number of documents that are not filed to a Case/Intake.
The Upload button will open the Upload Documents window, where files can be dragged/dropped or selected from Browse Files to import documents in bulk to Neos.
With NeosAI Platinum, AI Auto-Filing can be enabled to automatically suggest case matches based on document criteria.
Browse Documents includes the ability to select multiple documents at one time. Using the Bulk Actions menu, you can Download selected documents, Copy/Move documents, and Email documents, and Analyze with NeosAI.
Use the Search field to locate all documents within your Neos database that contain specific text in the file name. The grid will automatically filter your results.
The Documents list can be further defined by selecting any of the following criteria.
Type – Click the dropdown to locate documents by Document Type, as defined in the Document Type Directory. This filter is shown by default. Selected label colors from the Document Type Directory display globally in the grid.
Click the More button to view additional filters.
Batch Number – Use the up and down arrows to locate documents that have been added into Neos the corresponding batch number. Batch numbers are used when generating documents.
Case Status – Choose Open, Closed or Open/Closed. Open/Closed will display documents from both open and closed cases.
Document Group – Choose Case documents, Provider documents, or Intake documents.
Dormant – Select the checkbox to locate documents from cases marked Dormant. Cases are marked Dormant when the case file is not active but not yet closed.
Provider Roles – Select the desired provider role(s) from the dropdown to filter documents assigned to specific provider roles. Type into the Filter row to quickly locate a provider role. Deselect any selected provider roles to search all. Provider roles are created in the Provider Role Mini Directory.
Tags – Select the desired document tags in which to locate documents. Tags are created in the Tags Mini Directory.
Provider Specialties – Select the desired provider specialties from the dropdown to filter documents assigned to specific provider specialties. Type into the Filter row to quickly locate a provider specialty. Deselect any selected provider specialties to search all. Provider specialties are created in the Provider Specialty Mini Directory.
Last Accessed By – Select the desired Staff by which Case, Intake and/or Provider documents were last accessed.
Last Accessed Date – Click the Accessed Start Date field to enter the starting date to locate documents by their last accessed date. For a range, enter a date in the Accessed End Date field as well.
Class Codes – Use the dropdown to select a Class Code by which to locate documents.
Staff – Use the dropdown to locate documents using the assigned Staff.
Case Type – Use the dropdown to select one or more Case Type by which to locate documents from cases of a certain type.
Click the Apply button to update the documents list with the filter results. When searching for "Provider documents", the Provider Name column will contain the name of the Provider associated with the listed documents (from Provider Documents).
To return to the default settings, click the Clear filters button.
To remove a filter from the Documents screen, click the X for the filter you wish to hide.
For maximum performance purposes, the list of documents can be sorted by Name, Entry ID, Document Group, Staff Created, Document Date, Last Accessed Date, Last Accessed By, Type, Category, Batch Number, Case Name, Case Type, and Provider Name columns.
Each document contains an icon and unique color to show the file type, such as docx, xlsx, csv, txt, pdf, etc., within the grid.
Click the Details button to display a right-side pane of data that can be edited. Refer to the Documents Side Pane for more details. Changes will be automatically saved when navigating away from the current field. The Browse Documents tab will refresh when the side pane is closed.
Click the File Name of a document to open a new tab with the document from your firm's SharePoint.
