Duplicate Name Check

The Duplicate Name Check uses data from the Party Details fields to predict matching results when creating Intakes.

As you type, the matching results will be more targeted. The Last Name field is required to trigger the Name Duplicate Check; however, these fields will contribute to targeted name results: First Name, Middle Name, SSN, DOB, State, Zip, Phone, and Email.

The total number of matched records will display. Use the scroll bar to see all records. Each matched record will display Full Name, Email, Phone #, and Address, when applicable. The number of Cases and Intakes for each name will display, as well as if the name has a Provider Card (saved Provider Role).

To view additional information for a record, click the More Details button. A Name Results Preview Pane will display. On this pane, you can open their Provider Card, access the Quick Actions Menu, send a Text, and open Cases or Intakes for this name. This feature is helpful to quickly review any potential conflicts using the associated lists of cases and their Party Role.

If the desired name is listed in the matched records, click the Use this record button. The information from the selected record will populate accordingly in the Party Details fields. Any additional Party details entered in the new Intake will also update the linked record on Save.

To remove the linked name from the new Intake, click the Clear record button. On the Clear record message, choose how Neos should handle the entered information.

  • Click the No button to unlink the name AND keep all field data.

  • Click the Yes button to clear the linked name from the Intake. Fields that are linked to the name will now be blank. Data in Role, Our Client, and User Defined Party fields will remain, as well as Incident Details and Marketing section fields.

  • Click the Cancel button to abort the disconnection. The current name will still be linked.
