Importing Documents and Folders

Documents and folders from your firm's SharePoint can be imported into the Documents Tab of a Case. Selected documents and folders are copied into the current Case Folder as individual items that can be modified for further classification. The current File Path of imported documents will display on the Complete window when uploading.

NOTE: Case Folders (folders from Neos Cases) are only created in your firm's SharePoint CaseFiles document library AFTER a document has been added to Neos for that Case.

To import documents:

  1. Navigate to the Documents Tab of the desired Case.

  2. Select the settings menu (three dots button) and click the Import option.

  3. A Drive Files window will display with your firm's list of SharePoint sites. Click the linked name of the desired Site (e.g, Clouddocs), followed by the Document Library (e.g., CaseFiles). Then click the linked Folder (e.g., Summers, Jessica M. - 206648) to see the documents within that folder. To go back, click the breadcrumb trail of the previous section.

    NOTE: Specific folders or files can be located using the Search field.

  4. Use the checkboxes to select folders and/or documents within the Document Library to import and click the Select button.

    NOTE: Individual documents and documents within selected folders will be imported. The actual folder does not get imported to the Case.

You can select the Type, Category, and Tags of each file during the import process. These fields are optional and can be configured after the import using the Edit process described in Documents Tab Bulk Actions. Click the Save button to continue. Files can also be Analyzed with NeosAI at the time of import by selecting the slider.

TIP: Configuring the Document Type and Category creates consistent filing of your case documents both in Neos and in your firm's SharePoint. When a Document Type is specified, the document is added to that type folder for the current case in your firm's SharePoint. For example, if you assign the Correspondence Document Type to the "Client Welcome Letter" document, it will now be located within the Correspondence folder in SharePoint.

6. The folders/files will be copied to the Documents Tab of the active Case as individual files.

NOTE: If the imported file has been deleted (including from the Recycle bin), you will see a Missing file connection message when trying to open the file from the Case Documents Tab in Neos.

  • Click the Yes button to reconnect the file.

  • Click the No button to keep the broken link. A "Document not found" message will display.

When the Yes button is clicked, the Drive Files window will open. Locate the file you wish to reconnect (from step 4) and click the Select button.

Confirm your selection to connect the file to its path in SharePoint by clicking the Yes button.

Now, when the file name is selected in the Case Documents Tab, it will open properly in your firm's SharePoint.
