Default Info Tab

The Default Info tab contains information that can be set globally across your firm.

NOTE: You must have Modify permissions to General > Firm Preferences to make changes.

Some address fields can display default information. When these details are entered, Neos will automatically fill in the specified information for the corresponding fields when used on various screens throughout the system.

For example, if your clients are mostly in the city of Miami, when you enter this in the Default Info tab, all new names will contain 'Miami' as their City. You can always change the field content within a particular entry if the default information is not applicable.

Default Information

Enter the following field details:

  • City – Enter the default (most commonly used) city.

  • Country – Enter the default (most commonly used) country.

  • State – Enter the default (most commonly used) state.

  • Area Code – Enter the three-digit area code most frequently used in your cases and party/provider information.

  • DTF Provider – Use the search field to locate the name of the provider that is most commonly used with Due to Firm value items.

  • Trust Provider – Neos will display the same Provider that is used as the DTF Provider by default, however, you may search for a different contact. When a Value entry is manually created with a "Trust" Value Code, the contact in this field will auto-populate the Provider field of the Value item.

Firm Logo

The firm logo can now be added and used when exporting reports and creating templates for document assembly. Click the Replace button to browse to your firm's logo. Click Open to insert the file name of the logo. When the Save button is clicked, the logo image will display below the field.

Images up to 5 MB can be added and will be resized (to 100 px width, keeping the aspect ratio) when inserting into documents during the document assembly process and in reports.

Acceptable formats include BMP, CUR, GIF, ICO, JPG, PNG.

TIFF formatted images cannot be added.

To magnify the image, click to open a larger view. Click the X to return to the tab.

To remove the firm logo, click the trash icon in the bottom right.

Confirm your selection on the Delete Image warning message.

  • Click the Yes button to delete the firm logo.

  • Click the No button to abort the firm logo deletion.

The Default Info tab will be automatically saved when the Yes button is clicked and no other changes exist.

Advanced Analytics Firm Constructs

The following section displays for firms that use Advanced Analytics.

  • Working hours goal – This field defaults to 90%. Values from 0-100 with up to 2 decimal places can be entered. Enter the firm goal percentage for the user ratio of available hours to hours worked.

  • Total # of active employees – This field defaults to the total number of active staff records (Neos User does not need to be selected) when Neos was first implemented.

  • Profit Margin goal - This field defaults to 10%. Enter the profit margin goal percentage that will be used in Advanced Analytics reporting to compare against the firm's actual profit percentage.

  • Estimated monthly firm fixed cost – This field defaults to $0.00. Enter the estimated monthly direct labor costs + other direct costs + O/H expenses (Overhead) + G&A expenses (General & Administrative).

Case/Matter Type

The labels "Case Type" and "Matter Type" are interchangeable. This labeling function is for the purpose of titling the directory and reports and does not otherwise affect the function of any Neos features. Select the radio button of Case Type or Matter Type as the default for your system.

NOTE: All instructions in this guide referring to "Case Type" also pertain to "Matter Type".

Case Checklist Sort

The Case Checklist Sort setting controls the order in which a case checklist is sorted. Choose to sort the case checklist by Phase (roughly chronological), Status – Phase, or Status – Due Date.

Default Value Reference Labels

Use Reference Label 1 and 2 fields to specify the reference label that is shown in the Description section of a Value tab item. When specified, these labels will be used in the Value tab of all case types. Alternatively, you can define the reference labels for each value code using the Value Code Mini Directory.

Default Case Number

Choose the default case reference that is most relevant for your firm. The Subject will populate the chosen default case reference, alongside the Case Name, when:

  • Drafting a new email from a Case

  • Emailing documents from a single Case

  • Creating a Case Calendar event

NOTE: If Alt Case #1 or Alt Case # 2 is selected as the default and the corresponding field is empty, the Neos Case Number will be used.

Visibility Settings

Case/Intake notes can be marked as Important and pinned for awareness. When the Pin items marked as Important to the top of lists for all staff checkbox is selected, all Case/Intake notes that are marked Important will automatically be pinned to the top of the list. This global, firm-wide setting will be selected by default.

When unchecked, notes flagged as Important will remain flagged but will no longer be pinned to the top of the list. Instead, these Important notes will follow the sort order of the Notes list.

Organizer for Checklist Outlook Sync

Checklist Outlook Sync allows Neos to create and maintain all-day Outlook calendar events based on your Checklist tasks, keeping your schedule accurate and up to date without manual re-entry.

When enabled for a task—either from your Primary or Auxiliary Checklist settings or directly from a task within a Case—Neos sends real-time updates to Outlook whenever Checklist task details change. This can help you track deadlines more efficiently, quickly confirm which tasks are synced from the checklist grid, and ensure Outlook always reflects the most current information. You stay in control of every sync relationship, including creating or disconnecting events as needed, while administrators can centrally manage firm-wide sync settings and permissions. All related activity is captured in the Activity Feed, providing a complete history of changes to synced tasks and their associated calendar events.

NOTE: Changes to the event in Outlook will NOT update the Checklist Task in Neos.

To get started, tick the Enable Syncing checkbox.

The Organizer field contains Staff Codes of active Staff members who have their Office 365 connected to Neos. Select a single staff member as the Organizer. Neos recommends creating a dedicated Staff Profile to serve as the Organizer and assigning the necessary permissions.

  • "Can view all details" Outlook Calendar permissions for all Staff

  • Add, Modify, and Delete permissions to Case > Calendar Tab

NOTE: If the default Organizer is later changed to a different Staff, make sure the new Organizer also has "Can edit" permissions to the previous default Organizer's Outlook Calendar, so events remain updated. If the new Organizer does not have Can edit to the previous Organizer's Outlook Calendar, new events will be recreated when a synced task is updated in Neos.

When the Organizer is set and Save is clicked, your Checklist Tasks can now be configured for syncing. A new standard, immutable appointment type has been created that will be used for syncing Checklist tasks to Outlook. While "Checklist/Outlook Sync" cannot be manually selected as an Appointment Type, it can be used as a filter to locate events by this Appointment Type in Advanced Search when performing a search for Calendar. It can also be added as a column in the Primary and Auxiliary Checklists and Calendar views.

Configure Checklist Outlook Sync

The Checklist Outlook Sync occurs when a Checklist task is added to a Case/Intake. The sync can be configured for individual checklist items from the Primary or Auxiliary Checklist to automatically create the Outlook event when the Checklist task is added to a Case.

The sync can also occur on Checklist tasks within a Case/Intake.

Disable Checklist Outlook Sync

To turn off the sync between Checklist tasks and Outlook, deselect the Enable Syncing checkbox.

You will be prompted with the following warning message.

  • Click Yes to confirm your intention to disable the Checklist Outlook Sync.

    • Any new Checklist tasks or tasks that have not yet synced will not be added to Outlook.

    • Tasks that are currently synced to Outlook will continue to sync (even when Checklist changes occur) and can be unsynced.

  • Click No to abort this change.

Click the Save button to save changes to the Default Info tab. Click the Discard button to abort your changes.
