If your firm uses QuickBooks SDK, QuickBooks Online, or a different accounting software, pending checks and deposits can be exported from Neos as a QuickBooks® .IIF (Intuit Interchange Format) file. These are text files that can then be imported into another accounting software.
NOTE: You must have Enabled permissions to Accounting > Checks and/or Deposits to view pending checks or deposits. To export pending checks and/or deposits, you must have Modify permissions to Accounting > Checks and/or Deposits. To edit the Debit Account and/or Credit Account fields, you must have Enabled permissions to Special Permissions > View Credit and Debit Accounts.
To export checks or deposits:
Navigate to the Accounting tab by clicking the dollar sign on the left navigation pane.
Select the Checks or Deposits tab.
Use the checkboxes to select pending check or deposit requests.
NOTE: Posted transactions cannot be exported.
Click the Export button and select IIF.
Check and deposit requests must have a Company, Debit Account, and Credit Account selected in order to export as an .IIF file. If one of these fields is missing, you will see the following Entries need specification window. Enter the missing fields and click Done.
NOTE: Changes to the existing Company, Credit Account, and Debit Account fields can be made using the Edit option prior to posting or exporting requests.
NOTE: In the Company dropdown, the "IIF" option will be listed first, followed by your firm's connected QB SDK companies OR QB Online companies. If your firm does not use QB SDK or QB Online, IIF will populate this field by default.
Select either IIF or the desired QuickBooks company from the list. When IIF is the selected Company, the Debit Account field will only show accounts listed in the Debit Account (Check Export) Mini Directory and the Credit Account field will only show accounts listed in the Credit Account (Check Export) Mini Directory. The Company you choose determines the credit and debit account options. Make sure that the selected credit and debit accounts already exist in the accounting software which you are importing. If accounts do not match, errors may occur when importing the IIF file.
The check or deposit request will be updated. Select the entry or entries again and click Export > IIF to continue.
An Export selected transactions to IIF? window will display.
# of Transactions – Displays the total number of selected requests.
Total Amount – Displays the total value of all selected requests.
Export Order by – Choose a single option in which to order the list of requests in the IIF file. This is an optional field.
8. Click the Export button. The selected requests will be marked as "Posted" on the Accounting Tab and the IIF file will generate.
NOTE: QuickBooks limits the number of characters for various fields, including Vendor and Customer. Refer to this QuickBooksHelp article for character limits to avoid errors when importing an IIF file.
9. The file processing window will display on the bottom right of Neos, showing the status of the IIF file.
NOTE: Cancel will close this window and no changes to the selected requests will have been made.
10. The IIF file is saved in your Downloads folder. The file is named using the {ExportDate}-{Checks or Deposits}-StaffCode}.iif (e.g., "06-23-2022-Checks-LAR"). The exported date uses the logged-in Staff's time zone.
11. The IIF file can be viewed prior to importing by opening it in a Notepad format. Refer to the following as an example.
