Edit Unfiled Documents

Unfiled documents within the File Documents grid can be edited individually using inline edit or the Document Details pane, or can be updated across multiple rows at once using bulk edit. A Case/Intake must be assigned before documents can be saved to the appropriate CaseFiles folder in SharePoint.

NOTE: Your firm must have NeosAI Platinum. You must have the Bulk Filing Special Permission Enabled.

Inline Edit Documents

Double-click a document row to enter edit mode, where you can change or set the following fields:

NOTE: The checkbox for a row that is currently in edit mode will be disabled and cannot be selected.

  • Case – Displays the Select a Case window with "All" as the default criteria.

  • File Name – This field can be renamed, excluding changes to the file extension.

  • Type – Displays a dropdown of active Document Types from the Document Type Directory.

  • Category Displays a dropdown of active Document Categories from the Document Categories Mini Directory.

  • Date Defaults to the date the file was uploaded. Click the calendar icon to select a different date. NOTE: Date Created is a read-only field and will display your current time zone.

  • Tags – Displays a dropdown of active document tags from the Tags Mini Directory. Multiple tags can be selected.

  • Author – Displays a dropdown of active Staff Full Names or Staff Codes, if the name is not populated.

Click the green checkmark when finished to exit edit mode. Your temporary changes will be reflected, and the row will return to read-only.

NOTE: If another user saves changes to the same row while you are editing it, their saved changes will overwrite your temporary changes.

Document Details Pane

Single documents can also be edited in the Document Details pane when an unfiled document is single-clicked (while the row is read-only, not in edit mode). The same fields mentioned above can be modified in the Document Details pane, which includes a preview of the document.

NOTE: The Original File Name field is present but cannot be edited.

Changes are automatically saved to the grid temporarily; however, when closing the File Documents Tab, you will be prompted with an Unsaved changes warning message.

  • Click Yes to discard your temporary changes and close the File Documents Tab.

  • Click No to stay on the File Documents Tab with your current, temporary changes.

To commit your changes, click the Save & File button, even if a Case/Intake has not been suggested/set. You will still be presented with the Unassigned Documents warning message (if one or more documents do not have a suggested/set Case/Intake), but when File Documents is clicked on the warning message below, those changes will be retained.

Edit Documents in Bulk

  1. Select one or more rows in the File Documents grid.

  2. Use the bulk edit options to set the following fields across all selected rows: Set Case, Change Type, Change Category, Date, Change Author, and/or Change Tags.

  3. Click Apply to set those changes for the selected rows.

  4. When a Case/Intake assignment has been saved, a green checkmark icon will display.
