Adding a Party

An overview of adding a Party to a Case from the Quick Add menu or the Party Tab, covering how to select an existing contact or create a new one, and the fields available for a person versus a company.

Neos makes a distinction between parties that are persons and individuals as opposed to corporation or entity. In Neos, a Party is either a Person or a Company and different information may be captured for each.

Parties can be added to a Case from either the Party Tab list view or from any Case Folder Tab via the Quick Add menu.

NOTE: You must have Enabled and Add permissions to Case > Party Tab to add a Party to a Case. To modify a saved Party, you must have Modify permissions. If you have Enabled permissions without Modify, the Party can still be viewed but changes cannot be made.

If Modify Provider is disabled but Modify Party is enabled, the Party can still be changed. If the Contact is neither a Party nor a Provider, you must have either Party or Provider permissions to create, modify, or delete.

Add Existing or New Party

To add an existing or new Party to a Case:

The most efficient way to add a Party to an existing Case is by clicking the Quick Add menu on the Case Header from within any Case Tab. You may also navigate to the Party Tab list view of a Case and click the + Add button.

1. On the Select a Contact window, use the Search field and criteria to locate a name in your Neos database. Select a contact from your Recently Used list or click the + New Party button to enter a new Party.

Add Existing Party

NOTE: A name can only be added once as a Party for each Case.

2. Click the Select button for a Provider Name. If a name has Intakes or Cases attached, select that entry to display additional information showing a Select button for each Party.

3. The selected name will be added as an entry in the Party Tab. Contact data will populate the new entry, as applicable. Choose a Role for the inserted Party and enter any additional details. Role is a required field.

4. Click the Save button to keep your changes.

Add New Party

When the + New Party button is clicked, select whether they are a person or a company.

  • Click the Yes button if the Party is a person.

  • Click the No button if the Party is a company or other entity.

  • Click the Cancel button to abort the Add New Party process.

5. Your selection will dictate the type of fields that display on the new Party detail view screen.

Party Detail View

Person (Detail View)

If the new Party is a person, click the edit icon in the required Full Name field to display the Name Details window.

Complete the following fields:

  • Prefix Select the applicable prefix from the dropdown. Prefixes are created in the Prefix Mini Directory.

  • First – Enter the Party's first name. Up to 100 characters can be entered.

  • Middle – Enter the Party's middle name. Up to 50 characters can be entered.

  • Last – Enter the Party's last name. This field is required in order to add the new Party. Up to 100 characters can be entered.

  • Suffix – Select the applicable suffix from the dropdown. Suffixes are created in the Suffix Mini Directory.

Click the Save button to insert the new name into the Full Name field on the Party Tab. Continue entering additional details for the new Party.

  • AKA Name The AKA Name field displays "also known as" information, such as a nickname, maiden name, or other alias. The AKA name is also included in the name search. Click the edit icon to enter information on the AKA Details window.

    AKA First Enter the AKA First name, if applicable. Up to 50 characters can be entered.

    AKA Last Enter the AKA Last name, if applicable. Up to 200 characters can be entered.

    Click the Save button to save changes.

  • Gender Select the appropriate gender (Unknown, Male, or Female) from the dropdown.

  • SSN Enter the nine-digit Social Security Number. Unique SSN numbers are no longer enforced. Neos will warn that a duplicate was found but allow you to save.

  • Date of Birth Enter the month, date, and year of birth, or use the calendar icon to select a date. Once the date of birth is entered, the Age and Age at DOI static fields in the Party header are automatically calculated when data exists in the Date of Incident (DOI) field on the Case Tab. Date of Birth can be the same as the Date of Death (e.g., infant death cases/intakes).

  • Deceased – Select the Deceased checkbox, if applicable.

  • Date of Death – This field is only accessible when the Deceased checkbox is selected. This can be the same as the Date of Birth (e.g., infant death cases/intakes).

    NOTE: Date of Death cannot precede Date of Birth.

Party Section

  • Client – Select the checkbox if the Party is your client.

  • Role Select the Party's role from the dropdown. This is a required field in order to save the Party Tab. Party roles are created in the Party Role Mini Directory.

  • Relationship Enter the Party's relationship to the Case or to the Party for whom they are responsible. Up to 100 characters can be entered.

  • ID Code Select the Party's ID code from the dropdown. ID Codes are created in the ID Codes Mini Directory.

  • Responsible for another Party Select the Responsible for another Party check box if applicable.

  • Minor – The checkbox will be automatically selected if the Party is a minor on this Case, which is calculated using the current date minus their date of birth.

    NOTE: Minor can be manually selected or deselected.

  • Incapacitated – Select the Incapacitated check box, if applicable. If selected, enter the Incapacity.

  • Date of Majority - This field is only accessible when the Minor check box is selected. It automatically displays the party's 18th birthday using the date entered in the Date of Birth field.

    NOTE: The Minor checkbox does NOT automatically deselect when the Party has reached majority.

  • Incapacity - This text field is only accessible when the Incapacitated checkbox is selected.

The Minor, Deceased and Incapacitated fields indicate information about parties that are not representing their own interests. Generally, another Party (such as a parent, guardian, or personal representative) is also added as a Party to the Case. Indicate the person representing the minor, deceased, or incapacitated Party by checking the Responsible for another Party check box and enter their relationship in the Relationship field.

Additional Section

  • Federal ID – Enter the nine-digit Federal Tax Identification Number. Unique FIN numbers are no longer enforced. Neos will warn that a duplicate was found but allow you to save.

  • Bar Number – Use the text field to enter the Party's bar number, if applicable. Up to 25 characters can be entered.

  • Alternate ID - Enter up to 255 characters for internal use or when importing data. This field is available as an option in the Intake Layout Manager and can be utilized in Advanced Search as a criterion and a column.

  • Tags – Use the dropdown menu to select one or more tags from the Tags Mini Directory. Contacts can be located using their associated Tags within the Contacts Tab of a Case and global Contacts.

Addresses/Phone Numbers/Emails/Online Accounts

Refer to Adding an Address, Adding a Phone Number, Adding an Email, and Adding an Online Account for adding details to these sections.

Click the Save button to save the Party (person) information.

Company (Detail View)

If the Party is a company, a new Party details screen will display when the No button is clicked on the Add New Party message.

  • Company Name Click into the required Company Name field to enter the company name. Up to 100 characters can be entered.

  • Company AKA Enter the AKA name, if applicable. The AKA field displays "also known as" information, such as a nickname, product name, or other alias. The AKA name is included in the name search. Up to 251 characters can be entered.

Party Section

  • Client – Select the checkbox if the Party is your client.

  • Role – Select the Party's role from the dropdown. This is a required field in order to save the Party Tab. Party roles are created in the Party Role Mini Directory.

  • Relationship – Enter the Party's relationship to the Case or to the party for whom they are responsible. Up to 100 characters can be entered.

  • ID Code Select the Party's ID code from the dropdown. ID Codes are created in the ID Codes Mini Directory.

  • Responsible for another Party Select the Responsible for another Party checkbox if applicable.

Additional Section
