Annotating PDFs in Neos

When the Annotate menu option is selected, users can add and modify text in a PDF using the PDF Editor. This article describes how to apply highlight, underline, strikethrough, and squiggly; add notes, text, rectangles, freehand editing, eraser, and color options. All annotations are stored in the Comments pane.

NOTE: Your firm must have Neos Premium and Staff must have Add permissions to the Documents Tab to save PDF edits.

The Color Palette is available on all Annotate options

The Undo and Redo buttons will undo or redo the last change that was made.

The Eraser button is available on all Annotate options and can remove selected annotated changes.

  • Highlight – Creates background color of selected text. Use the color palette to choose the desired highlight color(s).

  • Underline – Creates a line under selected text. Use the color palette to choose the desired underlined color(s).

  • Strikethrough – Creates a line through selected text. Use the color palette to choose the desired strikethrough color(s).

  • Squiggly – Creates a squiggly line under selected text. Use the color palette to choose the desired squiggly color(s).

  • Free Hand – Make any type of annotation. Use the color palette to choose the desired free hand color(s).

  • Free Hand Highlight – Make any type of highlight. Use the color palette to choose the desired free hand highlight color(s).

  • Free Text – Creates a text box by clicking or dragging on a location in the PDF. Write over the default "Insert text here" text and insert desired wording. As you type, a text style and color palette will display. The color palette at the top can be used to choose the desired text color(s).

  • Insert Text – Click the desired location to add text. The Comments pane will display where you can insert text. The location of the inserted text will show a triangle in the selected text color.

  • Replace Text – Click the desired location to replace text. The selected text will have a strikethrough in the selected color. In the Comments pane, add the text to replace the strikethrough.

  • Note – Creates a note in the selected location of the PDF. Use the color palette to choose the desired note color(s). Notes can be rearranged in the PDF. Notes are displayed in the Comments panel, which can be accessed using the Comments icon

    on the top right of the Edit PDF screen. See below for more details.

  • Callout – Inserts a leader line connected to a text box in your PDF. These are helpful when needing to explain parts of a document. Use the color palette to choose the desired callout color(s). Select the callout to insert a comment, change the text color and opacity, delete, create a link, resize, or rotate.

    Quick Actions

    When an inserted Annotate option is selected, an additional quick actions menu will display.

  • Comments – Opens the Comments pane.

  • Style – Expands for quick access to Text Style (formatting, paragraph, and alignment), Stroke (color, opacity, and stroke), and Fill (color and opacity). These options vary based on the selected annotation. Custom colors can be created or deleted.

  • Link URL or Page – Links a website or page within the current PDF to this text field.

  • Delete – Removes the text box.

  • Rotate – Turns the text field 360 degrees.

Comments

The Comments section contains a list of all annotations made to the PDF. Select an annotation to add a comment. Use the search bar to find matching comments.

Change the Sort to view changes/comments by different criteria.

Click the Filter icon

to only show changes/comments by the user, replies, type of annotation, and color.

Select an annotation to show details and options. The location of the annotation will be linked to the item from the Comments section. The annotation type and color will display, followed by the user that made that edit. Below, you'll find the date and time of the change, followed by the selected area in the PDF and any comments.

Add a reply using the text field and click the arrow to save. When text has been entered, an exclamation point icon will display.

Click the Status icon to select a different status. 'None' is the default selection.

Click the meatballs icon to Edit or Delete the comment. When an annotation is deleted, the modification will also be removed from your PDF.

NOTE: Only comments added within the PDF Editor can be edited or deleted. Any comments that exist in the PDF before uploading to Neos cannot be changed or removed within the PDF Editor.

Click Save to keep all your changes.
