With your firm's LawPay integration, Due and Overdue invoices can automatically be created in LawPay when they are shared with the contacts in a Case. Neos integrates with LawPay Quick Bill which only supports full invoice payments at this time. For assistance with using LawPay, navigate to https://supportcenter.lawpay.com/hc/en-us/.
NOTE: Your firm must have the LawPay integration activated.
NOTE: You must have at least Enabled permissions to Case > Invoicing Tab.
To share/create invoices with LawPay:
On the Value Tab, select the Invoices view.
Invoices can be shared from the list view using the kebab menu > Share option.
An Invoice can also be shared from the Invoice detail view > Share button.
NOTE: If your firm has already shared an invoice with LawPay, a blue banner will display at the top of the Share Invoice window.
If your firm has not logged into the LawPay integration from Neos or they do not have LawPay, the Include Payment Link checkbox will be disabled. Navigate to Integrations to learn more about the LawPay integration or contact your Neos administrator.
If your firm has LawPay connected, the Share Invoice window will display. Enter the following information.
Recipients – Select the contact (e.g., Payee) that you wish to send this invoice. Only names within the Case that have an email address will be available. This required field accepts one contact.
Copy – Select additional contacts with which to share this invoice. Multiple names can be selected.
All Caps Descriptions – Select the checkbox to show the Description of the items within the invoice in all caps. Content is pulled from the Memo field on the Value item detail view.
Update Issue Date – Select the checkbox to change the Issue Date to the date of sharing.
Include Payment Link – Select the checkbox to include a link to the LawPay payment portal in the email that the selected recipients will receive containing the PDF attachment of their invoice.
• This checkbox will be disabled if a "Paid" invoice is selected to be shared or if the LawPay integration is not active.
When the checkbox is selected, additional fields will display.
Deposit Account – This required field displays a list of bank accounts in your firm's LawPay account. Select the account where invoice fees will be deposited.
LawPay Contact – This required field displays the LawPay contact that will serve as the payee on the amount due. Neos will cross-reference the email of the selected recipient with all existing LawPay contacts.
• If the email matches a single name in Neos and LawPay for that contact, it will display in this field and cannot be changed.
• If there are multiple matches, Neos will display all matching contacts in the dropdown, allowing you to select the appropriate payee.
• If no matches are found, "LawPay Contact will be created" is displayed. This field cannot be changed in Neos but when clicking Send, Neos will create the contact in LawPay.
5. Click the Send button to share the invoice and LawPay link, if selected.
6. A confirmation message will display.
The recipient will receive an email with a PDF of the shared invoice and a link to LawPay's payment portal.
When the recipient clicks "View Bill and Pay", a new browser tab will open to the payment portal on LawPay's website.
NOTE: Your firm's logo, business name, address, phone number, and website can be displayed along the top. These details are configured on the LawPay website under Settings.
A list of all invoices shared using LawPay can be viewed on the Quick Bills tab within your firm's LawPay account.
NOTE: In order for LawPay to sync a paid invoice back to Neos, the recipient must use the LawPay payment portal. Manually clicking "Mark As Paid" in LawPay will not sync payment to Neos – the user would also need to click "Mark as Paid" in Neos.
When the recipient clicks "Enter Payment", they will be prompted to enter their Billing Address and Payment Information.
Upon clicking "Pay Now", the confirmation screen will display for the recipient.
They will also receive a confirmation email from LawPay.
In your firm's LawPay account, the item will be marked as "Paid".
In Neos (once the sync from LawPay is complete, roughly 5 minutes or less),
The related invoice will update to a status of "Paid".
A new transaction will be added to the Value items within the invoice referencing the paid invoice number. The Value item and created transaction will be locked.
NOTE: If there are multiple Value items within an Invoice paid via LawPay, Neos will split the total paid amount between each Value item when creating the Transaction.
NOTE: If you have Enabled permissions to Special Permissions > Modify Locked Value Entries, you can edit locked Value entries.
Payment Notifications
When a payment has been made on an invoice, either in LawPay or by the Mark as a Paid option in Neos, the last user who shared or modified that invoice will get notified.
A banner will display on the top right with the Payment Amount, Invoice Number, and Case Name (Case Number).
Click the banner to open the paid invoice within the Value Tab of that Case. Clicking the case link will take you to the Case Tab of that Case.
You can also click the bell icon to open the Notifications pane to view the payment notification.
Select the notification to be brought to the paid invoice within the Value Tab of that Case. Clicking the case link will take you to the Case Tab of that Case.
Once the notification has been clicked it will be marked as read.
