Access Deadline Calendar Events

With the LawToolBox integration enabled, mapped case dates and calculated deadlines will automatically display Case Date Deadlines in the global Neos Calendar and your Outlook Calendar. This is a change from the previous "Deadline" checkbox.

Deadlines that are linked with Case Dates will display as All Day events in the Neos and Outlook Calendars. They are distinguishable on the global Neos Calendar by the Deadline icon and the "Deadline (LawToolBox)" event Type (below the Event Status) in the popup.

NOTE: Case Deadlines now show the associated Case information.

Click an event to show a preview popup of a Case Deadline Date and the linked Case.

Click the Edit button to access the detail view.

  • Organizer – Displays the Staff who created the Deadline for the Case.

  • Attendees – Displays the Staff(s) chosen for each Deadline during the generation process (refer to the Calculate Deadlines Selection within KB 1878 for more information). Staff without a valid email address will not display as an attendee.

  • Subject – Displays "{Deadline Subject} – {Case Name}".

  • Time – Displays "All Day" on selected date.

  • Status – Defaults to "Open".

  • Show as – Defaults to "Free".

  • Type – Displays "Deadline (LawToolBox)" as Appointment Type. This field cannot be modified.

  • Description – Defaults to the Deadline description.

  • Start/End – Displays the Deadline Date.

The Deadline Details section can be expanded to show the Rule Set mapped to this Deadline, a link to the associated Ruling Authority Rules (based on the Rule Set of the selected State), and the corresponding Case Date (from the Case Tab). Deadline Notifications can be set to remind all attendees of a deadline from 2 weeks before up to the due date. Notifications are sent based on the Staff's Notification Settings preferences (Neos only or Email and Neos).

Deadline Date Changes

Changes made to Deadline events in Outlook or Neos will bi-directionally sync between Neos and Outlook, just like Neos Outlook events do. Recalculating a case date will update the existing deadline events that the current user has calendar permissions to update. Any errors that the user does not have the proper calendar permissions will display in the batch errors screen. Recalculating a case date will update the existing deadline events that the current user has calendar permissions to update. Deadline update failed; [[email protected]] does not have permission to update calendar events for [[email protected]].

  • Event subject, description, and "All Day" status will be reset to the original LawToolBox defaults for a given deadline if manual changes were previously made by a user.

    • Only additions made to the staff during the recalculation process will be applied

All Deadline changes made in Neos will be captured in the Activity Feed as a calendar event update.

Deadlines are searchable in Advanced Search by searching for Calendar and selecting the Deadlines filter or by searching for Calendar > Appointment Type > "Deadline (LawToolBox)".

Cancel Deadlines

Neos

If a user cancels a deadline in the Neos Global calendar and keeps an "Archived Event" snapshot, the case event will still be connected to the deadline, but the event will be removed from Outlook.

If the user does NOT keep an archived event snapshot, the event is canceled and the deadline is deleted in all locations.

Outlook

If a user cancels a deadline in Outlook, it will automatically be created as an "Archived Event" when the Case Calendar loads.

Recalculating Case Event Deadlines

If a user recalculates a deadline that was previously canceled, but an "Archived Event" snapshot was retained, then the case event will automatically be turned back into an Outlook event if the event date is in the future.
