Case Checklist Task Pane

An overview of the Case Checklist task pane, including how to open it and the fields it contains, from status and assignment through reminders, collaborators, linked documents, instructions, notes, and associated parent and child items.

Changes made to a Checklist item from the Case Checklist Tab can now also be performed through the task pane. Users can gauge whether checklist items are completed early, on time, or are overdue. With the enhancement of Completed Date and Completed By, there are two standard reports ("Case Status – Based on Checklist" and "Checklist Summary – Staff Assigned") that will now include these new fields. Save Changes & Discard buttons have been added when changes to certain fields have been made.

NOTE: You must have Modify permissions to the Case > Checklist Tab.

To access the task pane:

  1. Open a Case Folder and select the Checklist tab.

  2. Select the desired Checklist item or click the pencil button to view the right task pane.

  • Mark as – This button function will change based on the current status of the selected Checklist item. "Mark as Done" will display when the item is currently Open. "Mark as Open" will display when the item is currently Done. Child items will remain in the Case Checklist tab. If the item is a Parent, the option to add Child items will display. Refer to Modifying Case Checklist Items for more details.

  • More Actions – Click to choose a different status or to Delete the Checklist item. The available status options depend on the current status.

    • If Blank– Status Options include: Mark as Open, Mark as N/A, Mark as Blank

    • If N/A – Status Options include: Mark as Done, Mark as N/A, Mark as Blank

    • If Open or Done – Status Options include: Mark as N/A, Mark as Blank

  • Task Name/Checklist Code – The Task Name and Checklist Code are displayed above the Details section. Click the Task Name to edit appropriately. The Checklist Code color is defined from the Primary or Auxiliary Checklist. The Code can be changed in the current Case using the "Change Task" button.

  • Change Task – Opens the Select Checklist Task window, where you can swap this Checklist item for another from active Checklist tasks for this Case Type. The Change Task feature requires Add and Modify permissions to Case > Checklist Tab. Refer to Adding Checklist Items for more information.

  • Completed Date – When a Checklist item is marked Done, a banner showing the actual completed date by the Staff Code will be displayed in the Task Pane. The Due Date of Done or N/A checklist items will not be changed.

    • For previously closed items:

      • The Completed Date will populate with the date from the Due Date column.

      • If the Due Date is blank, the Completed Date will populate with the last modified date (Date Modified and Date Created will display in UTC but will be translated in the Completed Date field).

      • The Completed By column will automatically populate with the Staff Code that last modified the item.

    Child item due dates will be calculated based on the Completed Date of the parent item. Due Dates can still be manually updated. If a parent item Due Date is manually changed, it will still trigger a recalculation of child item due dates based on the newly selected Due Date. For Repeating items, when an item is marked Done and the option to reset is selected, then the new Due Date will be calculated off of the Current Date. LIM item Due Date calculations will remain the same. Completed Date and Completed By are new default Checklist columns. Completed Date/By can also be used in the Activity Feed and Advanced Search reports.

  • Assigned – The Staff Code of the staff assigned to the Checklist item will display. Use the dropdown to choose another active staff.

  • Due Date – The Checklist item due date will display. Use the calendar icon to change or enter a new due date.

  • Outlook Sync – Select the checkbox to sync this Checklist task as an All-Day event in your Outlook. Any changes that are made to this task in Neos will update the event in Outlook.

  • Remind Me – Choose one or more timeframes for when you wish to be reminded of this Checklist item (Never, On due date, 1 day before, 2 days before, 3 days before, 4 days before, 5 days before, 1 week before, 2 weeks before, 30 days before, 60 days before, 90 days before, 180 days before, and 365 days before). "Never" is the default selection for all checklist items. The default reminder time is 12:00 PM. Notifications will trigger for the assigned Staff using the Time Zone saved in their Staff Profile. Configure notifications as Neos only (banner and Notifications panel) or Email (Neos and email notification) in Staff Profiles > Notification Settings Tab. Notifications are also displayed in the Notifications Center.

  • Collaborators – Select one or more active Staff to receive reminders for a Checklist item. Collaborators allow staff members to stay aligned on shared work and receive the same automatic reminder that is set in the "Remind Me" field in accordance with their Staff Profile > Notification Settings for Reminders. Collaborators are available as a filter and column in Advanced Search and can be used as a filter in the Checklist Tab grid.

  • S/R – If the item is flagged as a repeating item, the repeat icon will display. Modifications can only be made in the Primary or Auxiliary Checklist.

  • Documents – If a document has been assigned to the Checklist item, the Document Title will display with a Generate Document button. Click to open the Document Generation screen. When the Checklist item is marked Done, the Document Generation process will automatically initiate, allowing you to complete the prompts for Case data and create the new document from the linked template.

  • Instructions – Specific details related to a Checklist item will display when created/modified in the Primary Checklist or Auxiliary Checklist. This field can contain up to 1,000 characters and is useful for lengthier Checklist item descriptions. Instruction text displays in the same paragraph formatting as entered.

  • Notes – A note can be added for an individual Checklist item in a particular Case using similar functionality from the Notes Tab. This field will be blank by default. The Notes field is a multi-line text field that can expand up to 10 lines before a scroll bar is shown. The added note is also visible on the Activity Feed in the expanded view of the Checklist item activity. Advanced Search can be utilized to locate Checklist items using the new "Notes" filter and column. Staff can also be mentioned in the Notes field. Based on that user's Staff Profile > Notifications Settings for Mentions, they will be notified in Neos and/or via Email.

  • Automations – This NeosAI Platinum feature allows you to configure automatic actions when changes to Case/Intake details are triggered. Refer to Accessing the Automations Directory for more details. From the task pane, existing automations can be viewed/edited or deleted. Click + Add Automation to create a new automation for this Checklist item. When automations are triggered, the trigger and action will be added to the Activity Feed.

Associated Items – This section is only displayed if the selected Checklist item is a Parent or Child. The following fields are read-only. Changes to parent-child relationships can only be made in the Primary or Auxiliary Checklist.

  • Parent Items – If the selected Parent Checklist item is linked to another Parent item, the Parent Code and Task Name will display.

  • Child Items – If the selected Parent Checklist item has Child items, the Code and Task Name will display for each associated item.

Changes made on the Checklist Task Pane to Status, Assigned, Due Date, Remind Me, and Notes fields will trigger the Save Changes and Discard buttons.

Click Save Changes to keep your recent changes or click Discard to revert your recent, unsaved changes.
