Assigning Staff General & Special Permissions

The General Permissions tab in Staff Permissions controls access to common Neos functions such as Case, Provider, Name Details, Messages, Intakes, Directories, General, and Accounting. Special Permissions are in a separate tab. Each group contains specific permissions to further control staff access. You can easily give full access or no access to all permissions in a group by using the top-level permissions above a group. Permission for each group or particular function can be explicitly allowed, explicitly denied, or inherited.

NOTE: The ability to modify your and others' permissions is controlled by Directories > Permission Groups. If any user has Modify permissions for Permission Groups, they can change all permissions for themselves and any other staff (if they have permission to access the Staff Directory).

All new staff General Permissions and Special Permissions are set to Inherit Deny by default, with two exceptions: NeosAI and AI Chat are set to Explicit Allow. This change ensures that staff added to Permission Groups will automatically have the associated group permission without having to make Staff permission changes later.

When adding existing staff to a Permission Group, you must select either the Inherit All button above each permission category level or set each individual permission category and level to Inherit All in the General Permissions Tab for that staff to inherit permissions from the Permission Group(s) where they are a member. Review the Inherited Permissions section below for more details.

NOTE: If permission changes have occurred to your current view, simply refresh Neos or navigate away and back to that view to see the changes take effect.

Permission Levels

The following key is present on the General Permissions and Special Permission tabs of Staff Permissions and Permission Groups.

: Permission level is intentionally selected and set to Allow.

: Permission level is intentionally deselected and set to Deny.

: Permission level is inherited from one or more permission groups where that staff is a member. The inherited permission only shows in Staff Permissions, since it pulls the allow or deny permission from Group Permissions.

Inherited Permissions

Inherited permissions

provide a static view of the overall permission when inherited from one or more groups where that staff is a member. If the staff is a member of multiple permission groups, the Neos function with the highest level of all the groups for each permission level is used to determine the inherited permission.

The inherited icon will display checked with a hollow outline

when the highest permission level for a particular Neos function is set to Allow from the permission group(s) where the staff is a member.

The inherited icon will display with a dash and hollow outline

when the highest permission level for a particular Neos function is set to Deny from the permission group(s) where the staff is a member.
