Document Record Linking

A new section called Linked Records has been added to the User Tab List/Entry 1-5 Tabs. This new feature allows for the ability to upload and link documents to an existing case record. Organize and access all related documents for a specific record in one location.

Benefits include:

  • Upload multiple documents at once and automatically link to a specific record

  • Adds uploaded documents to the Documents Tab

  • Add and edit metadata for each related document

  • Bulk download documents attached to a record

  • Copied or moved documents will bring linked documents

  • Deleting a document record link does not delete the document itself

  • Improved collaboration and information sharing

NOTE: The corresponding List/Entry Tab (1-5) must be enabled and have Documents Tab Enabled permissions to unlink existing documents, Add permissions to upload and link new documents, and/or Modify permissions to edit or add metadata.

Any type of record that pertains to a Case can be uploaded or dragged/dropped in bulk into the Linked Records grid on the detail view of an entry in the List/Entry 1-5 Tab. Remember, because these are user-defined tabs, you must first add fields to the tab in the Layout Manager in order to create a new entry. The Linked Records grid will display on the detail view of each saved entry.

New documents can also be generated from saved templates, just like in the Documents Tab.

A single document can be added to this record by dragging/dropping to this grid or by clicking the Upload Document button within the three-dots menu. A new Document details window will display when clicked. Multiple documents can be dragged/dropped into the grid and follow the Upload files process. Follow the Upload Documents process to add the linked document(s) using these methods.

You can now create a new document using document generation. The newly created document will be automatically linked to the Case in User Tab List/Entry 1-5 Tab and added to the Documents Tab.

The Linked Records grid provides similar functionality as the Documents Tab of the Case. Select a document to view the detail side pane. Click the document file name to open the document according to your Staff > Advanced - Link Handling settings. NOTE: When a document record is copied or moved to another case, any linked documents will remain associated with the record.

The kebab and Bulk Actions menus also allow similar functionality as the Documents Tab of the Case. In addition, you can choose a document or multiple documents to be downloaded or unlinked.

NOTE: Removing the document(s) via the Bulk Actions menu will also delete them from the Case Documents Tab.

When Unlink is selected, the document will be removed from the User List/Entry 1-5 Tab Linked Records section for that record but will remain in the Documents Tab. A confirmation message will display when the document has been unlinked.

Documents that already exist in the current Case can now be linked or relinked to a record. Click the + Link Document button above the grid. The Attach Documents window will display showing all documents in the Case by default. Deselect the Show Case Documents Only checkbox to include all documents inside Neos. Search can also be used to locate documents by title.

A new Upload File button has been added to the top right. This option allows a file to be uploaded directly from your computer and linked. Once a file has been linked to the record, it will be added to the Documents Tab of that Case.

Choose the file(s) you wish to link by selecting the corresponding checkbox. Then select the Attach button.

The selected document(s) will be copied to this record entry and display in the Linked Document Records grid. The existing document will remain on the Documents Tab. This process should be followed for all documents that already exist in the case to avoid adding duplicate documents.
