The purpose of this document is to provide guidance for merge template tagging in the Pre-Production Environment ("PPE"). Tagging allows you to customize your templates to fit your needs. The Pre-Production Environment allows you to test and update templates prior to Go Live. Use this document if you are
New to Neos, require data conversion from another case management program, and have designated a resource who will create new merge templates.
Firms migrating from Needles or Trialworks should designate a staff person(s) who will update, modify, and create templates. Any templates that are migrated will need to be run in the PPE to allow the conversion tooling to convert the tag/bookmarks to the Neos tag. Any tags/bookmarks that cannot be matched will reference that they need to be manually updated.
NOTE: If your firm is migrating to Neos from any other platform, template tags will not automatically convert.
The benefit of creating new templates or updating existing templates in the Pre-Production Environment is that your templates will be complete and ready to use on the day of Go Live.
Important Required Best Practices
Do not change the name of the templates as they exist in SharePoint.
Log out of Neos at the end of each day to allow for updates.
Once you are in the Pre-Production Environment, any changes made to templates locally, on your server, will not update the templates in the SharePoint environment. If you need to update a template, you must update it in both locations. This is because your live Needles or Trialworks database is still linked to the templates on your server, while your Neos environment is linked to the SharePoint site. Remember, while you are testing in the Pre-Production Environment, all of your Case-related work will still be conducted in your local version of Needles or Trialworks.
In the Pre-Production Environment, when a template is generated in a Case, Neos will automatically attempt to convert the merge codes to tags. Code-to-tag conversion occurs the first time each template is generated. Do this for every template and then open each generated document to check for any errors. You will need to manually fix any invalid tags in your templates while in the PPE. Refer to Tagging Templates in Pre-Production for additional information.
Tagging can be updated as needed in the Pre-Production Environment for multiple Parties/Providers, and user-defined fields (i.e., Record Requests or any other documents that contain information from user-defined tabs).
During the final SharePoint push conducted by CDS, the templates saved on the firm's server will not be uploaded again to SharePoint.
Once live in the final Neos production database, Neos will recognize the templates saved on the SharePoint site, as long as the document names were not changed and all templates were merged in the Pre-Production Environment.
Once your firm is Live, you can update any tags as needed.
