The Neos Case Checklist provides a list of open and completed checklist items for a specific case. Checklist items are created by case type, using the Primary Checklist. Non-case type specific items can be added using the Auxiliary Checklist.
When checklist items are assigned to cases, their due dates are calculated based on the type of case and time frame configured in the Primary and Auxiliary Checklist Directories. Before working with the Case Checklist, the Date of Incident and other relevant case dates must be entered on the Case tab, in order to calculate the due dates for each checklist item.
To access the Case Checklist, open the Case Folder of the desired case and select the Checklist tab.
The Case Checklist grid displays the following columns:
Status Icon - Displays the checklist item status. When the Case Checklist Sort has been set in Firm Preferences > Default Info to "Status – Due Date", checklist items will be displayed in the order of Open, Blank, Done, and N/A. This is the first column in the Case Checklist tab by default and displays icons that can be clicked to quickly change the status of a checklist item. Hover over the icon to display the current status.

= N/A statusClick the icon to mark the item as Done. Checklist items can also be marked as N/A using the Mark As N/A option in the
overflow menu. To display the Status Icon column first select the "all columns" checkbox at the top of the
Columns pane to the right of the grid. Unwanted columns can then be removed but deselecting the top checkbox will hide the Status Icon column.Code – Displays the unique checklist code, as defined in the Primary or Auxiliary Checklist. If the checklist item is designated as a parent of another checklist item, the parent item is marked with the parent-child relationship
icon.Task Name – Displays the checklist item Task Name as defined in the Primary or Auxiliary Checklist. Modifications can be made within the Checklist tab of a case by selecting the text or by clicking the pencil button to open the Checklist Task Pane.
Assigned – Displays the staff code of the staff who is assigned to the item. The staff may be changed using the dropdown. NOTE: If the designated Staff Role is blank in the Case, the Checklist item will default to the Primary Staff. When a Staff is entered into the blank Staff Role, the Assigned field on the checklist item will also be updated.
Doc # – If a document has been configured to merge, a generate icon
will display. A confirmation icon
will then display with the document name when it has been generated for a checklist item.S/R – If a checklist item is marked to repeat, a repeat
icon will display in the column. Changes can only be made in the Primary or Auxiliary Checklist. When repeating items are marked Done, Neos will display a Reset Item message.Due Date – Displays the date the checklist item is due. The date of an item can by changed by clicking the field and using the date navigator to select a different date. Checklist items that are set to manual (MAN) or do not have a due date can be configured by clicking the
button. The due date is calculated using the Ref and Days columns from the Primary or Auxiliary Checklist. Items that do not have a due date or set to manual will display at the bottom when the Due Date column is manually sorted (by clicking the column heading
).LIM – Displays a LIM icon
when an open item is marked as LIM (statute of limitations) in the Primary or Auxiliary Checklist. When the item is marked done, n/a or blank, the LIM icon
is changed.Refer to Understanding LIM Checklist Items for details on how LIM items are calculated.
Phase – Displays the checklist item phase as defined in the Primary Checklist for a particular Case Type. Phases can be useful in reports such as Case Status – Based on Checklist.
Completed Date – Displays the date a checklist item was marked Done. This date is read-only but the column is sortable by date. If a checklist item is re-opened, marked as N/A, or Blank, this field will be cleared.\
Completed By – Displays the Staff Code that completed the checklist item. The Staff Code is read-only but the column is sortable by staff. If a checklist item is re-opened, marked as N/A, or Blank, this field will be cleared.
Case Type – Displays the Case Type of where this Primary Checklist code originated.
Date Created – Displays the date and time that the Checklist code was added to the Case.
Date Modified – Displays the date and time that the Checklist code was changed in the Case.
Staff Created – Displays the Staff Code who added the Checklist code.
Staff Modified – Displays the Staff Code who changed Checklist code.
Staff Assigned Role – Displays the Staff Role for the assigned Staff.
Reference – Displays the Ref code of the checklist item from the Primary or Auxiliary Checklist.
Id – Displays the GUID ID for the checklist item.
Parent ID – Displays the GUID ID of the Parent item.
Aux Checklist – Displays the Auxiliary Checklist Title for where the checklist item originated.
Columns may be added or removed using the
Columns option to the right of the grid.
Filter Checklist Items
Checklist items can be filtered by Status (blank, Done, N/A, Open, Open/Done) or additional columns by clicking the + More button above the grid. Select the desired filters and the specific Checklist Code, Assigned Staff Code, Completed Date Range, Completed By staff (multiple staff can be selected), Collaborators, and Phase. All filters allow multiple selections.
Collaborators is a new filter used to find Checklist items where Staff are listed in the Collaborators field within the Checklist Task Pane. This filter operates independently from the Assigned filter. When multiple staff are selected, the Collaborators filter can find items where each/all selected staff members are listed in the Collaborators field.
Click the Apply button to filter the results. Click Clear filters to remove all set filters. Click the X to remove a single filter.
