Checklist tasks that exist in the Primary Checklist will automatically be added to new cases of a Case Type; however, you may wish to insert multiple instances or additional tasks after a Case has been created. The + Add Task... button includes Primary Checklist tasks from the corresponding Case Type and all Auxiliary Checklist tasks, regardless of whether the Auxiliary Checklist has been added to the Case.
To configure a frequently used task for faster entry, see Configure Quick Add Checklist Tasks.
NOTE: You must have Add permissions to Case > Checklist Tab.
Add a Checklist Item
To add Checklist items to a Case:
The most efficient way to add a new Checklist item from any tab in a case is by clicking the + Quick Add menu in the Case Header. Select the Checklist Item option for the active Case.
NOTE: You may also click the + Add Task button above the checklist grid in the Checklist Tab.
When either option is clicked, the Select Checklist Task window will display all active Case Type-specific Primary Checklist and active Auxiliary Checklist tasks. Select a single task and then use the Number of Items field at the bottom to specify how many instances of the selected task to add, then click Save.
Duplicating a Checklist Task is useful when requesting medical reports from several doctors. The task would appear in the checklist as "Request Medical Records". You would duplicate the checklist item for every doctor from whom you request the records, then modify the Task Name to indicate the name of the doctor ("Request Medical Records – Dr. Smith").
The Code and Description columns can be sorted ascending or descending by clicking on the column title.
Use the funnel next to each column title to filter the list of tasks. Filter options include Starts With, Ends With, Contains, Equal, Empty, Does Not Start With, Does Not End With, Does Not Contain, Not Equal, Not Empty, Like, In, and Not In. Type in the data you wish to find and click Filter.
When a filter is applied, the funnel will be outlined in blue. Click Clear to remove the grid filter.
Neos will process the new task based on the value in the Number of Items field:
If the Number of Items is set to 1, the Checklist Preview Pane will open with the task details for the newly added item.
If the Number of Items is 2 or higher, the tasks will be added directly to the Case Checklist.
The Refresh Checklist button will be present with the number of tasks that were added.
3. The item will be inserted into the Checklist tab grid with a Status = Open if:
a. It is not a "child" item (does not require a parent checklist item to be marked Done before it can be inserted), and the Due Date can be calculated using the existing Ref date and Days.
i. The checklist item will not be inserted until the Ref date is populated.
b. It is a "child" item, making the Due Date blank (see step 10).
c. The Ref date is marked "MAN" (manual), setting the Due Date = Today.
4. If you have selected a child item, an Adding Checklist Item warning message will display.
Click the OK button to manually insert the child item without a reference to its Parent item into the case Checklist tab.
Click the Cancel button to abort the child item insertion.
5. When the OK button is clicked to insert the child item manually, the item will be inserted with a blank Due Date (Set Due Date). If your Checklist grid has filters set, click Clear filters and Apply to trigger the automatic Checklist Task Pane.
NOTE: A reminder cannot be added until the Due Date has been set.
6. Automations can be added to individual Checklist items as needed if your firm has NeosAI Platinum. Refer to Add Automation for more details.
7. If any changes have been made on the Checklist Preview Pane, click the Save Changes button.
8. If the X is clicked on the Checklist Task Pane before saving changes, an Unsaved changes message will display. Click Yes to abort changes or No to return to the Checklist Task Pane.
9. Once the checklist item changes are saved, close the task pane using the X and click the Refresh Checklist button to update the Checklist tab with your changes.
