The Labels tab contains screen labels and phases used throughout the Case Folder.
NOTE: You must have Enabled and Modify permissions to Directories > Case Type.
There are several standard Neos fields that have customizable labels. Most of these fields appear on the Case tab but also appear on Party and Insurance tabs. The fields can be utilized for any purpose and can be named accordingly. Keep in mind that these fields may be used in many of the standard Neos reports and the date fields can also be used as reference dates for checklist items.
Case Tab Labels
The Alternate Case Num #1 and #2 fields are useful for tracking internal case numbers, file locations or referral numbers. "Firm #." and "Closed #." are the field defaults. To change an Alt Case Num Label, click into the field to display the cursor and enter a new label. These fields are optional.
Depending on the type of case, you may want to use different wording for Date Of Incident, which is an important field used in reports and checklist references. To change a Date of Incident label, click into the field to display the cursor and enter a new label.
Party Tab Labels
The Our Client field is located on the Party tab and is used primarily for filtering data in reports. Depending on your case type, you may wish to specify this information differently. To change the Our Client label, click into the field to display the cursor and enter a new label.
Insurance Tab Labels
The Minimum and Maximum fields on the Insurance tab are used to track the estimated dollar range for possible settlement of the case. Depending on your case type, you may wish to specify this information differently. To change a Minimum or Maximum label, click into the field to display the cursor and enter a new label.
Phases
Phases form the framework around which the Primary Checklist is constructed. The Case Checklist tab can be divided into up to ten phases by which all checklist items are sorted and displayed, providing a timeline order in which tasks are performed. When checklist items are marked Done, the associated phase is complete, shown on the Activity Feed of a Case.
Each Phase now has a text field for the phase display name, shown on the Activity Feed and Advanced Search (Case Phase Display Name), and a corresponding dropdown of recommended and other phases by practice area (Case Phase). This change allows members of your firm to understand the high-level progress of a case and improves reporting functionality.
Case Phase Display Name
The text field for the Case Phase Display Name field shows on the Activity Feed and Advanced Search criteria options. Your firm's current Case Phase names will not change and will still be visible in the Activity Feed. Enter up to 100 characters for each case phase.
Case Phase
The Case Phase dropdown contains recommended phases that are numbered 1-8. When one of these is selected, the number will be hidden in the field. Additionally, other phase options are included (unnumbered) below the recommended options based on the practice area. The following image shows the different options that can be selected. NOTE: Many of these options are interchangeable based on the practice area. Case Phase options can only be used once, except for 'Other'.
The selected Case Phase option (via dropdown) is used for reporting, providing a quick reference as to the status of a case.
To add an additional phase, click the + Add a Case Phase text at the bottom of the screen. Click Continue to acknowledge that all cases of this Case Type will now include this new Case Phase.
A new numbered Case Phase will be added to the bottom of the Phases list. The display name will be blank by default, as well as the Case Phase dropdown. The Case Type will be automatically saved.
Manually added phases can be removed by clicking the trash can icon.
Confirm your selection on the Delete Case Phase message. If the phase has associated checklist items, they will be moved to "Unphased".
The Case Type will be automatically saved.
To change existing Case Phases, click into the display name field to change the name of the phase. Phase descriptions can be changed after cases are entered. Click the Save button to keep your changes. Current and new cases of this Case Type will all use the modified phase(s).
