This article describes how modifications to single or recurring Outlook events are handled. When events are rescheduled, a new Reschedule workflow is introduced. When events are cancelled (previously deleted), a new Cancel workflow is introduced.
On the Neos global Calendar, double-click an event or select the Edit button on the calendar preview pop-up window to make changes.
NOTE: If you do not have "Can edit" permissions to the organizer's Outlook calendar, you will see a red banner on the detail view of that calendar entry. When this banner is present, changes cannot be made to this entry, disabling all fields.
If you open an event from an attendee's calendar where you are NOT the organizer but DO have "Can edit" permissions to the organizer's Outlook calendar, the following banner will display. All fields, except for Show as and Outlook Reminder will be disabled in this attendee view. Select the 'click here' link to open the same event from within the organizer's calendar for full field access.
Non-Recurring Event With or Without Case
Non-recurring events with or without a Case will immediately display the Event Details window when the Edit button is clicked. When modifying an event start date, the end date/time will automatically adjust based on the duration of the event. Click Save to retain your changes for all attendees. Click Discard Changes to abort changes and return to the Event Details window with your last saved changes.
Recurring Event With or Without Case
Events in a series are displayed with a
symbol in the Calendar View. When attempting to edit a recurring item, confirm whether you would like to edit the entire series or the selected event only. Both options will display the Event Details window, however, changes to the series will affect all recurring appointments, whereas changes to an occurrence will only affect that single item.
Click Edit this event only to open the single selected event occurrence. Any changes will only apply to this one event.
Click Edit entire series to open the entire series. Any changes will apply to all recurring events.
When a single occurrence is open, a banner will be displayed at the top of the window to show you are editing only a single event in series. Editing a single occurrence will hide the Recurrence section. To make changes to the recurrence, you must close the window and reopen the appointment using the "Edit entire series" button.
When the entire series is open, a banner will be displayed at the top of the window to show you are editing the full series.
Remove Attendee
An attendee can be removed from an event without cancelling the event for the remaining invitees. This is used when an individual no longer needs to attend, but the event should remain active and unchanged for everyone else on the invite.
To remove an attendee:
1. Click the X next to their Staff Code in the Attendees field. Attendees can also be removed from the Outlook Calendar.
2. After the attendee has been removed, the event will remain on their calendar with “Canceled” added before the Subject.
3. The removed attendee should find the event notification in their Outlook email and click ”Remove from Calendar”. This will remove the canceled event from their Outlook/Neos Calendar.
Alternatively, if the Organizer has ‘Can edit’ permissions to the removed attendee’s calendar, they can cancel the event from their calendar in Neos, thereby removing the event.
If attendees have the Outlook option for Calendar > Auto Accept/Decline > “Automatically accept meeting requests and remove canceled meetings” selected, then if they are removed from an event, it will automatically remove it from their calendar; however, they will not receive any notifications for new or removed events.
Modify Date/Time
When the time of a single recurring event is changed and saved, the changed appointment in the recurring series will display an exception icon
for that appointment in the Day, Week, Work Week, and Month Views (including the preview popups in all views).
To change the start date of a recurring appointment, double-click or click the Edit button for the occurrence that should be changed (e.g., if a recurring event has been added incorrectly for Sunday – Friday and should be changed to Monday – Friday, you would select the Sunday appointment). Select the Edit this event only button and click the Cancel Event button to remove that incorrect date.
Instead, you can choose Edit entire series and change the Start Date to the correct date.
When changes are made to the date or time of an Outlook event with Case data, a new Reschedule Case Event workflow will trigger.
NOTE: The Organizer cannot be changed after a new event is saved.
Click the Save button to retain all changes on the Event Details Window.
