Change Checklist Task

The Change Checklist Task feature allows you to swap a Checklist item for a different one within the Checklist Task Pane. This is useful when a task needs to be reassigned to a different Checklist Code without losing associated data. After selecting a new Checklist item, you can update task details before saving the change to the Checklist tab.

NOTE: You must have Modify permissions to Case > Checklist Tab.

Change the Checklist Task

  1. Click the pencil icon of the Checklist task you wish to change.

  2. On the Checklist Task Preview Pane, click the Change Task button.

  3. Single-select your new Checklist task from the window below and click Save. The previous task has been replaced by the newly selected task in this Case.

    NOTE: If any changes have been made to the Checklist item in the Task Pane (Task Name, Assigned, Due Date, Outlook Sync, Remind Me, and Collaborators fields) before clicking the Change Task button, all fields, except Notes, will be overwritten with the newly selected Checklist Code data when the item gets replaced on Save.

  4. The item will be inserted into the Checklist tab grid with a Status = Open if:

    a. It is not a "child" item (does not require a parent checklist item to be marked Done before it can be inserted), and the Due Date can be calculated using the existing Ref date and Days.

    i. The checklist item will not be inserted until the Ref date is populated.

    b. It is a "child" item, making the Due Date blank.

    c. The Ref date is marked "MAN" (manual), setting the Due Date = Today.

Insert a Child Item

If you have selected a child item, an Adding Checklist Item warning message will display.

  • Click the OK button to manually insert the child item without a reference to its Parent item into the Case Checklist tab.

  • Click the Cancel button to abort the child item insertion.

When the OK button is clicked to insert the child item manually, the item will be inserted with a blank Due Date (Set Due Date).

NOTE: A reminder cannot be added until the Due Date has been set.

Task Name Display

After selecting a new Checklist task, the Task Name field will populate based on the selected item:

  • If the selected item has a Task Name from the Primary Checklist, it will display the Task Name in the Checklist Preview Pane.

  • If the selected item does NOT have a Task Name from the Primary Checklist, the Task Name will be blank.

NOTE: The color chip of the changed Checklist Code will be immediately reflected when the Save button is clicked on the Select Checklist Task window.

Add Automations

Automations can be added to individual Checklist items as needed if your firm has NeosAI Platinum. Refer to Add Automation for more details.

NOTE: If an automation has been created for a Checklist item in the Primary or Auxiliary Checklist, it will automatically display in the Automations field.

Finalize New Changes

5. Click the Save Changes button to keep all new changes.

6. If the X is clicked on the Checklist Task Pane before saving new changes, an Unsaved changes message will display.

  • Click Yes to abort changes and close the Checklist Task Pane.

  • Click No to return to your changes on the Checklist Task Pane.

7. Once the checklist item changes are saved, close the task pane using the X and click the Refresh Checklist button to update the Checklist tab with your changes.

8. If your Checklist grid has filters set, click Clear filters and Apply to trigger the automatic Checklist Task Pane.

NOTE: The following error will display if a filter exists for the previous Checklist item that has been changed.
