Microsoft Office 365 Staff Activation

This article details the requirements and steps for configuring Microsoft 365 with Neos.

NOTE: Firm Activation must be completed before activating Staff.

Individual Staff Calendars are activated in Staff Profiles by each Staff or by the Firm Administrator.

NOTE: If your firm has enabled multifactor authentication (MFA) for Microsoft 365, Office 365 will need to be reactivated in Neos.

After the Neos Administrator/ Microsoft 365 Administrator has enabled the Microsoft Office 365 Calendar integration and Outlook Calendar editor rights have been set for everyone inside the organization, staff emails can be entered and activated in Staff Profiles.

By connecting your staffs' Microsoft 365 Calendar with Neos, main Outlook Calendar events will display in Neos, and events created in Neos will display in the staff's main Outlook Calendar. The Neos Calendar is each staff's Microsoft 365 main Outlook Calendar.

NOTE: Events added to other Outlook calendars will not be visible in the Neos Calendar.

The following steps can be completed by individual staff if they have Modify permission to Directories > Staff Directory. Alternatively, this process can be done by the Neos Firm Administrator if they have the Microsoft 365 Usernames and Passwords for all staff and Enabled permissions to General > Interfaces.

REMINDER: A new incognito browser window must be opened for activating each staff member.

  1. Open a new incognito window in your Chrome browser.

  2. Select Settings > Staff Profiles.

  3. On the Staff Profile tab, click on the Email Address field.

  4. In the Add Email Address window, enter the staff member's Microsoft 365 email (e.g., [email protected]) and click the Add Email button.

    NOTE: All entered letters must be lowercase. The email must be unique for this Staff. Only one email can be added and connected with Office 365 per Staff Profile. The Neos Calendar will not display appointments for other Staff that share the same connected Office 365 email.

  5. The entered email will populate in the Email Address field.

  6. After a valid email address has been added, you will be prompted to connect it with an Office365 account.

Click the Connect Now button. A separate Microsoft login window will display with the Staff's email pre-populated, as saved in the Staff Profile Tab. Enter their Microsoft 365 password (this should be the same as the sign-in for their email) and click Sign in. You may be prompted to verify your identity using Text or Call. You may choose to stay signed in to Office 365 by clicking Yes or No. When either option has been selected, the window will automatically close and you will be returned to Neos.

NOTE: If the following error appears, you may not have permission to grant admin consent to connect your 365 to Neos. Refer to these Microsoft articles to Configure the admin consent workflow and Review and take action on admin consent requests.

7. Open another tab in the Google Chrome incognito browser window and go to mail.office365.com. Sign in with the staff member's Microsoft 365 credentials, if needed. If prompted, set the proper time zone for the current staff.

NOTE: Each staff must have their Microsoft 365 time zone set to prevent Neos appointment times from displaying the default UTC (Coordinated Universal Time) in Outlook.

8. The Staff Profile tab in Neos is automatically saved (if no other changes exist). You should see the following in the User Account Details section.

9. When complete, close the incognito browser window.

Repeat steps 1-10 to activate each additional staff. Each staff activation must occur in a new incognito window.

NOTE: Ensure that each staff's email has been entered correctly on the Add Email Address window prior to clicking the Connect Now button.

To make changes to the entered email, click the Change button to the right of the Email Address field. Enter the new email in the Change Email Address window and click the Change Email button to save this change.
