Accessing the Case Calendar Tab

The Case Calendar displays all scheduled events for a selected Case/Intake. It is helpful for reviewing the time spent on a case or quickly checking upcoming events for a Case/Intake. Staff can add, modify, or cancel an event on the Case Calendar tab. Case Calendar events can be filtered and categorized by event sections.

NOTE: You must have at least Enabled permissions to Case > Case Calendar Tab.

To access the Case Calendar tab:

  1. Open the Case Folder of the desired Case/Intake.

  2. Select the Case Calendar tab from the list of Case Folder tabs.

  3. Events assigned to the Case will be listed in a grid with basic details.

Event Sections

Case Calendar has three tab sections. Outlook Events are events that are in Outlook (shown above). Archived Events (formally "Case Events") are non-Outlook events created during the cancel and rescheduled event workflows (shown below). All Events combines events from both tabs into one view. This allows you to keep a clean view of the most important events in the Outlook Events section while having your historical records for canceled or rescheduled events in the Archived Events section to reduce the clutter.

Both Outlook Events and Archived Events sections can be filtered and are sortable by Start Date, End Date, and Subject columns. If you want to see all events together, you can do so in the All Events section, however, it is not yet sortable.

The Refresh button on the top right allows users to refresh the list of Case Calendar events at any time. Neos has implemented caching for 15 minutes and after that time will attempt to retrieve any new Case Calendar events. In the event that Neos can only load a certain number of items, the retrieved events will be shown with a banner stating, "We couldn't retrieve all events from Outlook, please refresh to try again." By clicking Refresh, Neos forces a reload of the Case Calendar to display all associated events. The last update date/time will display to the left of the button. This change will prevent users from experiencing a red screen that can occur when a large number of Case Calendar events cannot be retrieved.

Click the New Event button to create a new Outlook event automatically associated with the open Case.

The standard grid view displays the following standard columns:

  • Event – Determines the event categorization. Events can either show "Outlook Event" (events that exist in Outlook) or "Archived Event" (events that only exist in the Case Calendar, where a copy of the original Outlook event was saved prior to rescheduling or canceling).

  • Type – Displays the event type when selected from the Event Details window. Type options are created in the Appointment Type Mini Directory.

  • Date – Displays the Start and End date/time of the appointment.

  • Staff/Attendees – Displays the list of staff and outside attendees.

  • Status – Displays the status of the event. Status options are created in the Appointment Status Mini Directory.

  • Subject – Displays the event subject from the Event Details window.

  • Description – Displays the event description from the Event Details window.

Filter Case Events

Case events can be filtered using Type, Status, and Start Date. Click Apply to view your filtered results. Set filtering only persists for the user within the current case and session.

  • Type – Use the dropdown to filter Case events by Event Type. Active Types are available from the Appointment Type Mini Directory.

  • Status - Use the dropdown to filter Case events by Event Status. Active Statuses are available from the Appointment Status Mini Directory.

  • Start Date – Click into the field to select a start date or date range. Click OK to populate the date in the filter. To remove the selected date, click the Clear button followed by OK.

NOTE: An End Date must be selected to display the Apply button.

4. Double-click an event to access the Event Details window. An "Outlook Event" can be modified, rescheduled, or canceled. Changes will be reflected in the global Calendar and vice versa.

An "Archived Event" can be modified or deleted from the Case Calendar tab. Changes made to an Archived Event will NOT be automatically reflected in the global Calendar or Outlook. To send an "Archived Event" to Outlook, access the Send to Outlook option.

The current list of Case Calendar events can be printed using the print icon.
