Accessing Case Contacts

The Contacts Tab is a new tab available in all Cases of any Case Type. It contains all contacts used in a Case from a single, interactive, actionable list to quickly identify contacts. The Contacts Tab will be enabled for all firms and Case Types by default.

NOTE: You must have at least Enabled permissions to Provider > Provider Tab to access the Contacts Tab in a Case. To see contact-related information (Email, Phone, and Address), you must have Enabled permissions to Name Details > Email Accounts, Phones, and/or Addresses.

To access the Contacts Tab:

  1. Navigate to the desired Case and select the "Contacts" tab.

  2. The Contacts grid will display. Most columns can be sorted, removed/added, and autofitted. The column order will be retained for each user in the current Neos browser session. [screenshot]

  3. The grid contains the following columns:

  • Avatar – Displays the contact's picture, if applicable.

  • Name – Displays the Full Name of the contact.

  • Case Involvement – Displays the contact's involvement in the Case based on a hierarchy, noted below.

  • Provider Roles – Displays the Provider Role(s) of a contact. If the contact is not a Provider, this column will be blank.

    • NOTE: The Provider Roles column is not sortable.

  • Tags – Displays the associated tags from the Contact. Multiple tags are separated by commas.

  • Email – Displays the default email address.

  • Phone – Displays the first phone number.

  • Address – Displays the default full address.

4. The Email, Phone, and Address can now be actioned right from the list view.

  • Email – Single-click a hyperlinked email to display options for Send Email (Send in Neos or Send in Outlook) and Copy. When Send Email > Send in Neos is selected, a New Email window will display with the email prefilled in the To field. When Send Email > Send in Outlook is selected, a new email window will display using your default email program, e.g., Outlook, with the email prefilled in the To field.

  • Phone – Single-click a hyperlinked phone number to send a text message or call using your Zoom or RingCentral integration or other default softphone. When Send a Text is selected, a New Text Message window will display.

  • Address – Single-click an address to copy the full address with line breaks to your clipboard.

The pasted format will display as:

[Salutation] [Contact]

[Address Line 1], [Address Line 2]

[City], [State] [Zipcode]

Search and Filter Contacts

Use the Search field to locate a contact within the Case. The grid will be filtered where each word, separated by spaces, exists within a column. The entered search will be retained per user, for the specific case, and for the current browsing session. A match for letters or numbers and partial matches can be performed for:

  • Full Name

  • Provider Role – dependent on adding the Provider Roles column into the grid.

  • Case Involvement

  • Email

  • Phone

  • Address

The Contacts grid can also be filtered by Case Involvement, Provider Roles, and Tags. Click the Filters button above the grid. The number of selected filter fields will display on the Filters button when Apply is clicked.

  • Case Involvement – Select one or more case involvement categories to show only contacts whose primary case involvement matches the selected options. For example, selecting "Insurer" will filter all contacts that have "Insurer" as their primary case involvement, though the results may have different representing parties and insurance types. The selected Case Involvement category will be retained per user and per case. Choose between: Party, Counsel, Insurer, Adjuster, Court, Billing Client, Negotiator, Judge, Police, Driver, Passenger, Owner, User Tabs 1-10 (a separate option will be displayed for each User Tab), Dynamic Layout, User Defined - [Case, Party, Counsel, Insurance, Value] (user defined contact fields), Value Provider.

  • Provider Roles Select one or more provider roles to show only contacts who have a provider role matching at least one of your selected provider role options.

  • Tags - Select one or more tags to show only contacts who have a tag matching at least one of your selected tag options.

Case Involvement Hierarchy

If a Contact is used in multiple areas of the Case, this hierarchy is used to determine what is displayed in the Case Involvement column. For example, if the Contact is used as a Billing Client and Party, Neos will show their Party Role.

i. Party – Display as "Party ([Role])"

ii. Counsel - Display as "Counsel ([Representing contact]; [Representing contact]; etc.)

iii. Insurer - Display as "Insurer ([Party Contact] – [Insurance Type])"

iv. Adjuster - Display as "Adjuster ([Party Contact – [Insurer Contact])"

v. Court – Display as "Court"

vi. Billing Client – Display as "Billing Client"

vii. Negotiator - Display as "Negotiator ([Insurance/Counsel/Party Contact – [Type])"

viii. Judge – Display as "Judge"

ix. Police – Display as "Police"

x. Driver – Display as "Accident Driver"

xi. Passenger – Display as "Accident Passenger ([Driver Contact])"

xii. Owner – Display as "Accident Owner ([Driver Contact])"

xiii. Referred By – Display as "Referred By"

xiv. Referred To – Display as "Referred To"

xv. User Tabs 1-10 Names – Display as "User Tab [#] (Tab Title)"

xvi. Dynamic Layout Names – Display as "DF ([Contact field label] – [Title] – [Dynamic Layout Name])"

xvii. Case UDF Contact Fields – Display as "UDF Case ([UDF Contact field label])"

xviii. Party UDF Contact Fields – Display as "UDF Party ([UDF Contact field label])"

xix. Counsel UDF Contact Fields – Display as "UDF Counsel ([UDF Contact field label])"

xx. Insurance UDF Contact Fields - Display as "UDF Insurance ([UDF Contact field label])"

xxi. Value UDF Contact Fields - Display as "UDF Value ([UDF Contact field label])"

xxii. Value Providers – Display as "Value Provider ([Party Contact])"

Contact Preview Pane

Single-click an entry to access the side preview pane of the Contact. This is the same view when searching for a name. If the contact is a party in one or more cases, those will be listed under the Cases heading. Click to open any of the listed Cases.

Click the + icon to create a new Case or Contact for the active Name.

Click View Contact to open the Contact Card of the active Name.

Click the down arrow to call or text the Name's phone number.

5. Double-click a Name in the grid to open the Contact detail view in a new tab.

Contact Actions

A new or existing contact can be added directly from the Contacts Tab with a custom involvement without having to leave the current view.

The Contacts Tab can be printed and exported.

Bulk actions, such as Email, Print Postage, and Invite to Event can be performed for one or more selected contacts.
