Adding Value Items

This article describes the process for adding Value items.

NOTE: You must have Add permissions to Case > Value Tab.

To add a new Value item, click the + Add button on the Value Tab list view. Enter information in the fields described within the following sections, as applicable.

The new outlined section at the top of a Value Entry contains six pertinent fields for creating a Value item. These important fields were moved to the top of the Value Entry screen to make it easier for users to quickly add Value items.

Additional changes include a back arrow on the left side to close the Value Entry and a Subtotals button on the right side.

  • Value Code – Select the Value Code that categorizes the Value item. The dropdown, shows the Value Code, Credit or Debit, and Description, as defined in the Value Codes Mini Directory. This is a required field. If a Value User Defined screen has been created for the selected Value Code for this Case Type, the User Defined section will display at the bottom of the Value item when the Value Code is selected.

    • The Value Code identifies the type of expense being tracked, such as medical bills, lost wages, or a case expense for which the firm should be reimbursed. Depending upon the Value Code selected, the Value item will be treated as a debit or credit.

    • The Description of the selected Value Code will display to the right of "Value Entry". These are defined in the Value Codes Mini Directory.

  • Amount – Use the money field to enter the total value of the Value Entry.

    • Value Calculator – Click the calculator icon to display the Calculate Value Amount window where you can calculate the amount of this entry based on Period (Hours, Days, Weeks, Months, Other), Number of periods, and Rate/Period. The Total value will display. Each field can be modified as needed. Click the Save button to insert the Total into the Amount field.

    • If an amount already exists when the Save button on the above window is clicked, you'll need to confirm your choice to insert the calculated value, replacing the existing Amount by clicking the Yes button.

  • Reduction - If the bill has been reduced (e.g., through a negotiated reduction of fees), enter the amount by which the bill has been reduced in the Reduction field.

  • Party – Value items are attached to a Party in a Case. The first Party marked Our Client is displayed by default in the Party field of a new Value item. A different party can be selected by clicking the Party dropdown to display a list of parties in the Case with their Role.

  • Provider – Use the search field to locate a provider for this required field. On the Select a Contact window, click the Select button to insert their name. If the Provider is not found, click + New Provider to create a new provider.

    NOTE: A new Provider side pane will display when the entered Provider is single-clicked. The side pane will show the Provider's General Information, Cases, and Provider details. Use the preview pane to review the Value Provider's information, click to dial, and send a text message all from the Value Entry.

  • Lien? – Select the checkbox if there is a lien associated with the Value entry. If selected, an icon will display in the Lien column of the Value Tab list view. Reports, such as the Settlement Memo Lien Summary can be run to quickly track items marked as Lien with an amount due.

Value Details

Enter the following fields that apply to the Value item:

  • Memo Enter a memo to briefly describe the transaction. This field can be used to keep track of account numbers, invoice numbers, and other useful information. This field will be pre-populated, if blank, for linked billable Time entries from the Description field. Up to 5,000 characters can be entered.

  • Settlement Note – Use the text field to enter up to 60 characters that can be used in documents or reports. When using the QuickBooks Integrator, the Settlement Note can be added to the Memo or Voucher portion of a check request.

  • Value Category – Select the Value Category from the dropdown to further categorize a Value item for more detailed reporting. Value Categories are defined in the Value Categories Mini Directory.

  • Reference 1 and 2 Additional Reference 1 and 2 fields may be used to track further details (e.g., invoice #, account #, purchase order numbers, etc.). These fields can be renamed in the Default Info tab in Firm Preferences. The Reference 1 and 2 field titles can also be designated by Value Code in the Value Codes Mini Directory, allowing for a different label to be displayed depending on the Value Code selected. The Reference Label from Firm Preferences will be displayed if there is no Reference Label specified in the Value Codes Mini Directory. Up to 50 characters can be entered.

  • UTBMS Expense – Select the appropriate UTMBS (Uniform Task-Based Management System), as defined by the American Bar Association. Active codes from the UTBMS Expense Mini Directory are shown. When Value items flagged as Fees or Costs are invoiced, the selected code will display in the corresponding field on the invoice.

  • Bill To – Use the required contact search field to locate any contact in Neos to whom this Value item should be billed. When the Billing Client field on the Case Tab has a contact selected, this information will auto-populate here. If the Billing Client field is blank, the Bill To field will default to the Party listed on the Value item but can be changed. If changes are made to the Bill To field, the contact in the Party field is NOT changed. All changes to the Bill To field will be present on the Activity Feed for the Case. Bill To has also been added as a filter when creating an Advanced Search query for Value items and can be added as a column in Advanced Search Results.

  • Service Dates – Enter the date range in which the services were rendered by the Provider for the bill or invoice. Click the date field to select the desired date on the calendar pop-up.

    The Report and Payment Requested fields are used to generate a report, such as Cases with Report Requested on Value Tab, which lists Providers who have not satisfied the request for reports.

  • Report Requested – Select the check box if a report has been requested and is still pending. Enter the date the report was requested in the Date field, if applicable.

  • Payment Requested – Select the check box if payment has been requested. Enter the date the payment was requested in the Date field, if applicable.

Totals

Once the required fields have been satisfied and Save is clicked, the Totals section will display. The Totals section has been enhanced, allowing key calculation fields to be updated directly on the Value entry, providing greater flexibility in managing costs and quantities while maintaining consistent calculation logic.

For all Value entries, except TIME Value Codes, the following Totals section will display.

  • Unit (Optional) – Select from the following options (Hours, Days, Work Days, Weeks, Months, Quarter, Year, Other, or Holiday).

  • Cost Per Unit – Enter the currency per unit. The unit cost will display in the Rate field of an invoice exported to PDF or Word. It will also be available when exporting an invoice to LEDES within the LINE_ITEM_UNIT_COST.

  • Quantity Enter the number, up to 2 decimal places. The entered quantity must be .01 or greater. This field is required. The quantity will display in the Qty/hours area of an invoice exported to PDF or Word. It will also be available when exporting an Expense Value entry invoice to LSS-SW10. The Quantity will be present when exporting an invoice to LEDES within the LINE_ITEM_NUMBER_OF_UNITS.

The Amount, Reduction, and Reduced Total fields will also be present.

Field Changes/Calculations

  • If the Quantity or Cost Per Unit is entered and the Cost Per Unit or Quantity field is changed, the Amount field will be recalculated (Unit x Quantity).

  • If the Cost Per Unit and Quantity are entered and the Amount field is changed, the Unit will be recalculated (Amount x Quantity).

  • If the Cost Per Unit is blank and the Amount is updated, the Cost Per Unit field will be recalculated (Amount x Quantity).

  • If a Reduction is added to the entry, the Cost Per Unit and Quantity will not change.

  • Changes to the Cost Per Unit or Quantity fields are reflected in the Activity Feed for the Case.

Value entries with TIME Value Codes will still have this view:

  • Amount Displays the value in the Amount field in the top section of the Value Entry.

  • Reduction – Displays the value from the Reduction field in the top section of the Value Entry.

  • Reduced Total – Displays the Amount minus the Reduction.

Summary

A doughnut graph is displayed showing the total payments, adjustments, and amount due. These values are determined by the payment or adjustment transactions entered in the Transactions section of a Value item. The Amount Due field is calculated using the following formula: Amount – (Reduction + Total Adjustments + Total Payments). The field title and value will be shown bold if the amount is greater than $0.00. The graph is not editable, however, hovering over each section will display the amount and description for each color.

Transactions

A list of transactions will display in the Transactions section. Transactions can be added by clicking the icon above the section; modified by clicking the pencil icon to the right of a transaction item; deleted by clicking the trash icon ; or submitted as a check request by clicking the dollar icon . Amounts entered in the Add Transaction window will cause the Adjustments, Payments, and Due fields to be recalculated.

Notes

In certain instances, you may wish to further explain a Value entry or add comments to the individual item using a Value Note. Refer to Accessing Value Notes for more details.

User Defined

If a Value user defined screen has been designed for the selected Value Code in this Case Type, the User Defined section will display additional fields. Enter the information into the user defined fields, if applicable. Refer to the Layout Manager View for details on creating user defined screens.
