Directories of user defined fields can be accessed from the Settings > User Defined section. The Case Fields Directory contains all user defined fields created for use on standard and User Defined Screens within all case types. Fields may be searched and filtered within the grid.
NOTE: You must have Enabled, Add, Modify, and/or Delete permissions to Directories > User Mini Directories.
To access the User Defined Case Fields, click the Case Fields button in Settings > User Defined. The User Defined Case Fields screen displays a grid of all created user defined fields by Title, Type, Length, and specified Mini Directory.
A case user defined field can be defined by using the following types:
Address - Alphanumeric block format (letters and numbers) that can be used only with Dynamic Layouts. The Category field can be used to select "Address". Refer to Accessing the Dynamic Layout Editor for more information. The Add Address window allows the following character limits:
• Address 1 = 100 characters
• Address 2 = 100 characters
• City = 100 characters
• State = 3 characters
• County = 25 characters
• Country = 25 characters
• Zip code = 10 characters
Alphabetic – Alphanumeric format (letters and numbers), allowing up to 32,000 characters. The field Title allows up to 500 characters.
Appointment type – Response is selected from the options created in the Appointment Type Mini Directory.
Note Topics – Response is selected from the options created in the Note Topics Mini Directory, which contains note topics from the previous Case, Value, and Provider Note Topics Mini Directories.
Checkbox – Box that can be checked for an affirmative response.
Credit Account – Response is selected from the options created in the Credit Account Mini Directory.
Date – Response is a date selected from the calendar graphic using MM/DD/YYYY format.
Debit – Response is selected from the options created in the Debit Account Mini Directory.
Decimal - Response is a numeric character, accepting up to 18 digits (includes up to four decimal places).
Document Category – Response is selected from the options created in the Document Categories Mini Directory.
Email – Alphanumeric block format (letters and numbers) up to 4,000 characters that can be used only with Dynamic Layouts. The Category field can be used to select "Email". The Email control will have the same field validations elsewhere in Neos. A mailto: link will be opened when the email is clicked. Refer to Accessing the Dynamic Layout Editor for more information.
How Resolved – Response is selected from the options created in the How Resolved Mini Directory.
Insurance – Response is selected from the options created in the Insurance Type Mini Directory.
User Mini Directory – Response is selected from a directory in the User Mini Directories.
Money – A numeric field. Needles automatically applies currency formatting to include the dollar sign, commas and decimal points.
Contact – Response is selected from your firm's Neos Address Book.
Name/Contact – Combines a name with a contact so data can be extracted as a first and last name or linked to an existing contact. The Name/Contact field allows Name Details to be entered by clicking the field or an existing contact to be selected by clicking the magnifying glass. The added name will only be added to the Dynamic Layout and not as a name in the Case. This new field type can only be used with Dynamic Layouts.
Negotiation kind – Response is selected from the options created in the Negotiation Type Mini Directory.
Number – Response is a numeric character with two places following the decimal point.
Paid By – Response is selected from the options created in the Paid By Mini Directory.
Paid To – Response is selected from the options created in the Paid To Mini Directory.
Party Role – Response is selected from the options created in the Party Role Mini Directory.
Phone Number - Numeric block format up to 10 digits that can be used only with Dynamic Layouts. The Category field can be used to select "Phone Number". The Phone Number control will have the same field validations elsewhere in Neos. When a phone number is clicked, your firm's configured RingCentral or Zoom widget will display and dial the number. If neither is configured, your browser's softphone link will initiate. Clicking the text button will display a new text message window. Refer to Accessing the Dynamic Layout Editor for more information.
Prefix – Response is selected from the options created in the Prefix Mini Directory.
Provider Role – Response is selected from the options created in the Provider Role Mini Directory.
Provider Specialty – Response is selected from the options created in the Provider Specialty Mini Directory.
Rating – Response is selected from a dropdown menu which contains the ratings:
0 – Unacceptable, 1 – Poor, 2 – Fair, 3 – Good, 4 – Very Good, 5 – Excellent
How Reviewed – Response is selected from the options created in the How Reviewed Mini Directory.
Review Type – Response is selected from the options created in the Review Type Mini Directory.
Staff Name – Response is selected from the Staff Directory.
Staff Group – Response is selected from the options created in the Staff groups Directory.
State – Response is selected from a list of States
Suffix – Response is selected from the options created in the Suffix Mini Directory.
Time – Response is a time. Needles automatically applies time formatting (HH:MM) inserting the colon between the hour and minutes.
Time Called – Response is selected from the options created in the Called Back Time Frame Mini Directory.
Value Code – Response is selected from the options created in the Value Codes Mini Directory.
Yes No – Response to a question will be Yes, No, N/A or ?.
File Type – Response is selected from the options created in the Mini Directory.
File Path – A text field in which to enter a document hyperlink.
Editable Hyperlink – A text field in which to enter a hyperlink.
Companion Group – Response is selected from a dropdown containing Companion Group Names from the Companion Groups Directory where Parties in a case or Providers are members.
Class – Response is selected from the options created in the Class Codes Mini Directory.
Id Code – Response is selected from the options created in the ID Codes Mini Directory.
Gender – Response is selected from a dropdown containing the options: Unknown, Male, Female
Document – Response is selected from a dropdown containing document hyperlinks from the Documents tab for the Case or Provider.
Task – Response is selected from the options created in the Tasks Mini Directory.
