Address Book is now your firm's list of global "Contacts". Contacts allows you to see all of your Neos contacts in one convenient location. Show all contacts or only Providers, search for contacts using information from the grid, filter by specific fields, identify contacts that have notes and/or documents, preview details, and open a Provider Card or associated Case/Intake.
From Contacts, you can add a contact from a photo ID or business card, health insurance card, create a new contact, and import contacts.
NOTE: You must have at least Enabled permissions to Provider to access Contacts. Without this permission, the Contacts icon will be hidden from the left navigation pane.
Click the third icon in the left navigation pane to open Contacts as a new tab in Neos.
Click the + Add from file…AI button to Add from Business Card, Add from Photo ID, or Add from Health Insurance Card.
Click the Import Contact button to import contacts from a CSV file into Neos. Refer to Importing Contacts for details.
Click the + New Contact button to create a new provider in Neos. Refer to Adding a Contact (starting on step 2) for details.
Click the All toggle to view all contacts in Neos (includes names in a Case/Intake and names with a Provider Role). Click the Providers toggle to only view contacts that have a Provider Role.
Search for contacts by ID, Full Name, or AKA Name.
Contacts can be filtered using the filter icon to the right of the Search field.
Expert Witness – Select Any, Yes, No to locate contacts by the Expert Witness field on their Provider Card.
Birth Date – Select the Start Date and/or End Date to locate contacts by their date of birth or a range of dates.
Provider Roles – Select the desired Provider Role(s) from the dropdown to filter providers containing the specified provider roles. Type into the Filter row to quickly locate a Provider Role. Deselect any selected provider roles to search all. Provider Roles are created in the Provider Roles Mini Directory.
Provider Specialties – Select the desired Provider Specialties from the dropdown to filter Providers containing the specified Provider Specialties. Type into the Filter row to quickly locate a provider specialty. Deselect any selected provider specialties to search all. Provider Specialties are created in the Provider Specialties Mini Directory.
Address – Enter text to locate a contact where any word matches data in the Address 1, Address 2, City, State, or Zip Code fields of the default address.
State – Use the dropdown to select one or more states to search providers based on state.
Tags - Select one or more tags to show only contacts who have a tag matching at least one of your selected tag options. The Tags column is automatically added to the grid.
Batch Number – Locate contacts by the batch number in which they were imported.
Click the Apply button to set your filters. Click the Reset All button to reset all filters, then click Apply to return to the default view. The grid will refresh each time Apply is clicked.
A contact's picture will display to the left of their ID. If they don't have a picture, the person or company icon will display.
If a contact is a Provider, a "Provider" flag will display. If the Provider has notes and/or documents tied to their Provider Card, the corresponding icons will display.
If a contact has a Billing Rate tied to their Contact Card on the Billing Settings tab, that dollar amount will display in the Billing Rate column on the Contacts tab. If no rate is assigned a dash will show in the column for that contact. Billing Rate is used when staff track time spent in a Case and can override default Task and Staff rates.
Select a contact from the results to preview brief information from the Provider Card. The clicked row will now show as the selected row for easier viewing when the side pane is open.
To add details such as a note or document to the contact, click the plus icon
on the top right of the preview window header.
To open the Provider Card, click the View Contact button.
To close the preview, click the
icon.
