Tab Setup Tab

An overview of the tabs available on a Case Folder, what information each one tracks, and when your firm might want to activate them.

A Case Folder has several tabs, which may vary based on the Case Type. There are three main tabs that are always active, thirteen elective tabs, and up to ten user defined tabs from which you can select. You may decide which elective and user-defined tabs you want to activate for each Case Type. To create user-defined fields in the Layout Manager, select the Edit button for the Case Folder tab you wish to define.

Main Tabs

  • Party – Contains personal and user defined information for each individual or company involved as a Party in the Case, such as a plaintiff, claimant, or defendant.

  • Case – Contains case and user-defined case information. This information is unique to the Case and contains case facts such as the synopsis, location, and other crucial data.

  • Checklist Contains the to-do checklist items for all staff working on the case; it also functions as a chronology of tasks completed.

Elective Tabs

  • Contacts Contains a list of Contacts used within a Case. This tab does not have an Edit button for User Defined fields.

  • Companion Cases Contains a list of Cases that are in some way related. Cases can be deemed companion cases in the Companion Groups Directory.

  • Case Calendar – Contains a list of appointments linked to the current Case. Appointments can be added, deleted or modified and will be reflected in the Calendar.

  • Notes – Contains all notes entered into the Notes Tab for the Case.

  • Insurance – Tracks information about all insurance policies relevant to the Case, such as policy, claim and adjuster data. Contains insurance and user defined insurance information.

    NOTE: The Insurance Tab should be activated if your firm intends to merge documents with relevant insurance companies and adjuster information.

  • Negotiation – Tracks information relative to negotiations, such as the negotiator, date, demand/offer, amount and notes.

    NOTE: The Negotiation Tab should be activated if your firm intends to use the negotiation area (which tracks demands, offers and actual settlement dollars, and can be helpful when talking to adjusters and opposing counsel) for history reporting and comparison purposes.

  • Counsel – Tracks information relative to all counsel involved in the Case. Contains counsel and user defined counsel information.

  • Police – Tracks all police and police report information relative to the case.

    NOTE: The Police tab should be activated if your firm intends to merge documents using police information to request various reports for the case, however, many firms choose to use the user defined Accident Info tab to better customize Police information.

  • Documents – Contains documents that are associated with the Case such as correspondence, photos, medical reports, and pleadings. Files of various types can be linked to the Documents tab (e.g., word processing files, spreadsheets, scanned images, graphic files, etc.). Documents can be categorized, viewed or emailed directly from this tab.

  • Dynamic Layouts – Shows a list of all Dynamic Layouts added to the Case/Intake. The Dynamic Layouts Tab is available for all firms and will be enabled by default for all existing and new Case Types.

  • Accident Information – Tracks all relevant information related to an accident, such as date of accident, location, description of injuries, and a list of vehicles involved. All fields are standard to this tab. User defined fields cannot be created. This tab will not be active by default.

  • Value – Tracks all monetary transactions related to a case, such as plaintiff specials, lost wages, case expenses and costs, attorneys' fees, liens, and settlement disbursements. Contains value and user defined value information.

    NOTE: The Value tab should be activated if your firm intends to send form letters to treating physicians, hospitals, and other non-party Providers. The Value Tab can also be used for tracking time entries when the Neos Time Tracking feature has been activated and this option has been selected.

  • Time – Tracks time entries created by the Neos Time Tracking feature. Time Tracking must be activated in order for this check box to appear on the list of Active tabs. Tracked time is saved to the Time Tab.

User Defined Tabs

Up to ten user defined tabs may be set up by your firm for each Case Type. The user defined tabs are available in two formats: List/Entry type or Entry type. Each tab can contain a virtually unlimited number of user defined fields. Permissions can be set for each user defined tab.

  • List/Entry tabs are used when you want to track multiple instances of the same information. For example, if creating a medical records tab to track all requests for medical bills and records in a case, you should choose a List/Entry tab so that you will have one screen for each request. When accessing the tab, each entry appears as a separate item in a list format. Double-clicking on the individual entry you wish to view or edit will open the detail view of that specific entry.

  • Entry tabs are used when you wish to group certain fields of information in one place for quick access to that specific type of information in that Case. A good example of this is a Litigation tab, where only information relating to the court is entered, such as the case caption and court clerk. Another example of this type of tab is a Property Damage tab, which documents all the information regarding the property damage of all the vehicles involved in a motor vehicle accident.
