Accessing Mailing Lists

The Mailing List Directory stores user-defined mailing lists such as Birthday, Newsletter, and Holiday Card. Standard Reports and custom Advanced Search reports (queries) can be used to obtain a list of names in each mailing list.

NOTE: You must have at least Enabled permissions to Directories > Mailing List. To edit a mailing list title or members, you must also have Modify permissions.

To access the Mailing List Directory:

  1. Click the Settings icon on the left navigation pane.

  2. Select the Mailing Lists button from the Directory Editors section.

A list of mailing list titles will display on the left with all members of the selected list on the right.

Mailing Lists

The left pane displays each mailing list Title, the # of Members, and the Type of each Mailing List. The Type column can display Neos (standard) or Managed (available only when the Mailchimp integration is enabled). Mailing Lists can be made active or inactive using a slider next to the mailing list Title in the right pane.

NOTE: All current and newly created Mailing Lists will be active by default.

When a Mailing List is active, a blue check circle will display to the right of the Title in the left pane. Click the slider to toggle between active and inactive; changes will automatically be saved. When a Mailing List is inactive, it will NOT display in Mailing List fields (e.g., Reports or Parties/Providers to a Mailing List).

NOTE: The General Mailing List is standard in Neos which means the Title cannot be modified, the list cannot be deleted, and it cannot be made inactive. However, members can be added or removed.

Click the + Add button to create a new mailing list. To modify the name of a Mailing List, double-click the title to enter edit mode. Click Save to keep your changes. Mailing Lists can also be deleted.

Mailing List Members

The right pane displays the list of members for a Mailing List selected from the left pane. Use the Search text field to locate existing members by name. Click the Apply button to filter results. Click the Clear filters button to remove the search text and view the full list of existing members.

The Members pane contains a grid showing each member's Full Name, Address Type, Email, name Id, Provider Role, Provider Specialty, and Multi List (an icon displays if the name is also a member of other mailing lists).

Your Neos contacts can be added as members to a selected mailing list from here, from the Actions menu of a Party or a Provider, or from the Case Tab (includes all Parties that meet set criteria).

Standard reports for the Mailing List Directory and Mailing Labels can be accessed from the Report Library. From these reports, a Mail Merge can be created in Microsoft Word. Custom reports (queries) can be created from Advanced Search (such as names in a mailing list that don't have an email address).
