Advanced Search Filter Options - D-H

Advanced Search is a powerful tool for locating data in your Neos database. There are many Search For records and filter options that can be used to build your query. Some of these options from D to H are outlined in this article.

Default Email Address/Phone Number/Address

Default filters have been added to the Parties, Providers, and Names Search by criteria. Using the Default Email Address, Default Email Type, Default Phone, or Default Address filters, users can quickly locate these details and insert the corresponding columns. These reports can be exported in your desired export format. The Default Email Account > Type filter returns all email type values, including custom types created on individual Party and Provider contact records. To view all custom email types across Neos, insert the Default Email Type column into your results grid and use the Grouping feature to organize results by email type.

Document Summary

Document Summary is a new field on the detail view of a Case, Intake, or Provider Document. The Document Summary will be used in conjunction with Neos AI. It can also be utilized in Advanced Search as a filter and a column. When the Search for field is set to either Cases or Providers, the "Documents > Summary" filter will be available.

When Search for is set to Case Documents, the "Summary" filter will be available and can be added as a column in the results grid.

Document Tags

When searching for Case Documents, Document Tags is an available filter and column to locate all tags associated with a document. Use the "Select General Tag" filter to narrow your search results, e.g., by a specific tag, documents that do not have a tag, excludes a particular tag, etc.

To add the Document Tag as a column, click the Columns button and select the "Document Tags" column under the Document section.

When multiple document tags exist, they will be separated by a comma.

Dynamic Date Range

When a Date field is selected and the "Custom" operator is chosen, the value field now displays dynamic date range options allowing users to filter by data that is most important. Updates include the ability to filter for date ranges in the last, current, and next timeframes. All existing queries that used the "From" operator have been migrated to the new "Custom" operator, allowing reports to continue running as usual.

These dynamic date options include:

  • Today

  • Yesterday

  • Tomorrow

  • Last…

  • Next…

  • This…

When Last is selected, an additional numerical field will display where you can enter a positive number to locate data for the last (past) timeframe. A dropdown field will also be available where you can set the Day(s) (full day), Week(s) (Sun-Sat), Month(s) (full month), Quarter(s), (full months in quarter), and Year(s) (full year).

For example, if the current date is 12/13/2024, Neos will search the following based on your selection:

  • Last…1 Day(s) = 12/12

  • Last…1 Week(s) = 12/01 – 12/07

  • Last…1 Month(s) = all of November

  • Last…1 Quarter(s) = July – September

  • Last…1 Year(s) = all of 2023

    When Next is selected, an additional numerical field will display where you can enter a positive number to locate data for the next (future) timeframe. A dropdown field will also be available where you can set the Day(s) (full day), Week(s) (Sun-Sat), Month(s) (full month), Quarter(s), (full months in quarter), and Year(s) (full year).

    For example, if the current date is 12/13/2024, Neos will search the following based on your selection:

  • Next…1 Day(s) = 12/14

  • Next…1 Week(s) = 12/15 – 12/21

  • Next…1 Month(s) = all of January

  • Next…1 Quarter(s) = January – March

  • Next…1 Year(s) = all of 2025

    When This is selected, a dropdown field will be available where you can set the Week (Sun-Sat), Month (full month), Quarter (full months in quarter), or Year (full year). The 'This' range can locate data for the current timeframe. For example, if the current date is 12/13/2024, Neos will search the following based on your selection:

  • This…Week = 12/8 -12/14

  • This…Month = 12/1 – 12/31

  • This…Quarter = October – December

  • This…Year = all of 2024

Dynamic Layouts

Each Dynamic Layout within your firm's Neos is listed under the Search for dropdown. Using these Dynamic Layouts, you can search for specific data stored within a Dynamic Layout of a specific type. In other words, you can search for the case in which these layouts are used and what the parent record is linked to. The search results will display the available columns linked to that Dynamic Layout.

Conversely, you can perform a Cases or Value search and now have a filter option for "Dynamic Layouts" where you can filter on the type of layout ("Dynamic Layout"), which parent, and data within that parent ("Counsel", "Document", "Insurance", "Party", or "Value"), or data within the layout ("User Defined Fields").

Filter options for each Dynamic Layout include all fields configured within the Dynamic Layout Directory.

The 10 fields that are marked to "Display as Column" in the Dynamic Layout Directory are the default columns in the search results. However, additional fields from the layout can be added as columns in your Advanced Search results.

When a Dynamic Layout is selected in the "Search for" field or a Cases or Value Search is selected and criteria is added for Dynamic Layouts, Medical Codes can be added as additional criteria. Specific Medical Codes can also be added as columns in your search results.

If the Search For is set to Medication, Examinations, Medical Condition, or Treatment, Medical Code columns can be grouped. Expand each grouping to see the list of Cases where the Dynamic Layout contains the related Medical Code.

NOTE: Click the Columns button above the grid results to insert the desired Medical Code column.

When a Dynamic Layout type is selected in the Search for field, the results grid will automatically display columns for Case Number, Case Name, and remaining Dynamic Layout configured fields.

Filters for Linked Parent Record (Title and Type) can be created when searching for Dynamic Layouts to find only layouts that are attached to certain types (e.g., documents) and/or certain titles.

Columns for Linked Parent Record (Title and Type) can be added to the grid [when searching for a Document Layout type] to access the Title (e.g., title of the file or Dynamic Layout name, or Case Name) and Type (e.g., Document, Document Layout, Case, etc.) of the parent for the Dynamic Layout.

Grouping is now supported for Case, Staff Created/Modified, Date Created/Modified, Linked Party Type, and Linked Parent Record columns.

Favorite Cases

Cases that you have marked as a Favorite in the Browse Cases tab can be filtered when creating an Advanced Search report. The "Favorite" filter can be used on any Search for criteria. Results will display only cases where the signed-in staff has favorited a case. Choose "Equal" or "Not Equal" and "True" or "False". When the Favorite filter is set to "False", only cases that have not been favorited by your Staff Code will show in the results.

Click the Columns button to add the Favorite column to the grid.

The Favorite column can be added to the results grid when the Search for is set to Cases.

First Insurance

With First Insurance, users now have the ability to build reports from the first Insurance record in the Insurance Tab of Case, which is often your client's insurance record. When performing an Advanced Search for "Cases" or "Intakes and Cases", click the criteria field name to locate "First Insurance". All standard and user-defined fields that are present on the Insurance record will be available. Fields will mirror those available under Case Details > First Party.

First Insurance fields are also available as columns.
