Accessing the Neos Calendar

An overview of the Neos Calendar, including how to access it, add and view staff calendars and groups, display Case Dates and Checklist Due Dates, navigate dates and views, and preview or edit events.

The Neos Calendar tracks events on an individual, case-related, or office-wide basis. Calendar information may be entered by anyone listed in the Neos Staff Directory. Events may be scheduled for an individual or group of staff members, on a single date, range of dates, or a recurring period of time.

Deadline events appear in your Outlook Calendar. Refer to Access Deadline Calendar Events for more information.

Before You Begin

Your firm must have connected the Microsoft Office 365 Integration AND staff emails must be activated in the Staff Directory in order to utilize the functions of the Neos Calendar. Refer also to Configure and Connect Outlook Calendar for the recommended Office 365 Calendar permissions.

NOTE: Neos utilizes your Outlook Calendar permissions. Refer to Configure and Connect Outlook Calendar for the allowed and recommended calendar-sharing setting. Ensure your firm is connected to Microsoft 365 in Settings > Integrations AND that each staff's email is present and activated in their Staff Profile. All Staff must be on the same, non-aliased domain (e.g., @lawfirm.com).

Calendar Permissions

Permissions to your and others' calendars are controlled solely by Outlook Calendar permissions.

  • "Can edit" permissions will allow you to view, add, modify, and delete events from your calendar and other selected staff calendars.

  • "Can view all details" will allow you to view events but not make any modifications.

NOTE: Any events deleted from the Outlook calendar are also deleted from the Neos Calendar. AutoArchive in Outlook is not supported in Neos.

Opening the Calendar

To access the Calendar, click the Calendar icon in the left navigation pane.

NOTE: Only events from your main Outlook Calendar will be displayed in your Neos Calendar. Items that exist on other calendars in your Outlook will NOT be visible in Neos.

The Calendar side pane can be collapsed using the left arrow icon.

Adding and Viewing Staff Calendars

Selecting Staff Calendars

The Staff Calendars section displays the calendar for the current user by default. Use the + icon to select one or multiple staff calendars to view.

Select the staff for which calendars you wish to view from the Choose Staff Calendars window. Up to 20 staff calendars can be selected.

Adding Staff Groups

Staff Groups can also be added by clicking the + Groups text. Select the desired group(s) and click Save.

NOTE: If the selected Staff Group contains more than 20 staff, Neos will only show a maximum of 20 staff. This 20-staff maximum includes any staff you have individually selected.

Click Save when done.

Calendar Colors and Visibility

The Full Name of each staff will be displayed. All included Staff will be automatically checked and shown in different color blocks. The colored checkbox for a staff can be selected to view their calendar or deselected to hide their calendar. Neos assigns these colors by default, however, the order in which you select staff determines the calendar color of each user. The color for each selected Staff will remain on refresh. A maximum of 10 different colors can be used before the colors are repeated for additional selected Staff. To remove their calendar view, click the three-dots button and select the Delete option.

Permission Warnings

If the selected staff's Outlook calendar is NOT set to "Can edit" or "Can view all details", the calendar icon with an x will display, showing the following tooltip on hover. Refer to Configure and Connect Outlook Calendar to ensure Outlook calendar permissions are set appropriately.

Calendar Display Options

The Show/hide options in the Calendar side pane control which events appear on the Calendar. Staff Calendars is selected by default.

Filtering Staff Calendars

The Staff Calendars checkbox is selected by default and will include events for all selected staff. Regardless of the selected staff, when the Staff Calendars checkbox is deselected, no staff events will be shown in the Calendar, which can be used to view case-related events.

When deselected, the following message will display in the Staff Calendars section. Click Unhide to show Staff Calendars or select the Staff Calendars checkbox.

Split View

The Split view (previously "Side-by-Side") shows events from other calendars in a separate calendar view as a split screen. The staff's full name will display above each individual calendar pane.

When Split view is not checked, events from all selected staff will be displayed within the same calendar, denoted by different staff color blocks.

Viewing Case Dates

Tracking upcoming Case deadlines is easy with the ability to view Case Dates in the Neos Calendar. Select the Case Dates checkbox to refresh the Calendar and display Case Dates (from the Case Tab) from all Open Cases where the selected Staff are assigned to any Role within the Case. Case Dates display as all day events on all Calendar Views. The Case Dates checkbox will not stay selected if Neos is refreshed or the user logs out/back into Neos.

Click an event to show a preview popup of a Case Date and the linked Case. Case Date events do not contain a detail view but are distinguishable by the Case icon in the popup.

NOTE: Case Dates only display on the Neos global Calendar and will not show in your Outlook calendar.

Viewing Checklist Due Dates

Tracking upcoming Checklist deadlines is easy with the ability to view Checklist Due Dates in the Neos Calendar. Select the Checklist Due Dates checkbox to refresh the Calendar and display the Due Dates of Open Checklist items (from the Checklist Tab) of all Open Cases and Intakes where the selected Staff are listed as the Assigned Staff on Checklist items. Checklist Due Dates display as all-day events on all Calendar Views. The Checklist Due Dates checkbox will not stay selected if Neos is refreshed or the user logs out/back into Neos.

NOTE: If an Intake is Archived, the Checklist Due Date will not show in the Neos Calendar.

Click an event to show a preview popup of a Checklist Date and the linked Case or Intake. Checklist item events do not contain a detail view but are distinguishable by the Checklist icon in the popup.

NOTE: Checklist Due Dates only display on the Neos global Calendar and will not show in your Outlook calendar.

Navigation Dates

Calendar Graphic

The monthly calendar graphic appears above the calendar view.

Use the left and right navigation arrows to navigate to the previous or future day, week, work week, month, agenda, or month agenda. The current Work Week and year are displayed by default.

Click the down arrow to open the calendar graphic. The selected date range (based on calendar view) is displayed above the calendar pop-up. The selected date is highlighted blue. Click the Today button to navigate to the current date. You may select another date in the current month or use the arrow icons above the weekdays to navigate to a different month. The left arrow will cycle to the previous month or the right arrow will cycle to the next month.

Refreshing Events

Click the Refresh button to reload the list of Calendar events at any time. Neos caches events for 15 minutes, after which it will attempt to retrieve any new Case Calendar events. If Neos can only load a portion of the events, the retrieved events display with a banner stating, “We couldn’t retrieve all events from Outlook, please refresh to try again.” Clicking Refresh forces a reload of the Calendar to display all associated events. This change will prevent users from experiencing a red screen that can occur when a large number of Case Calendar events cannot be retrieved.

Viewing and Managing Events

Event Colors and Status

Events for the selected staff will be displayed in a randomized unique color. The selected date will be displayed above the staff. The current time is shown with a blue bar (on Day and Week Work Week views) for the current day or current week.

Events spanning the whole day will be displayed in the staff color block (on Day, Week, and Work Week views).

Events will display the Show as shade as defined by the Outlook event status.

Event Preview

Hover or single-click an event to display the preview in a pop-up window. For events longer than 45 minutes, Neos will wrap the Subject to show more than one line of the title. The full Subject can be accessed from the pop-up window, which can be copied/pasted as needed. The event preview displays the Event Subject, Status, Type, Start and End Date/Time, Organizer, Location, number of Attendees, and associated Case/Intake.

Editing and Canceling Events

Changes can be made to existing events by clicking the Edit button to open the detail view. You can also double-click an event to navigate directly to the detail view. Click the Cancel Event button to delete the event. Click the X icon to close the pop-up window.
