With NeosAI, users can extract essential information from a Photo ID to automatically create an Intake. Only file formats of DOCX, JPEG/JPG, PNG, and PDF can be used to extract Photo ID data. Once the Intake is saved, the uploaded Photo ID will be added to the Documents Tab and a record of both the AI-created Intake and the document will be included in the Activity Feed.
NOTE: Your firm must have NeosAI and Staff must have the NeosAI Special Permission set to enabled. You must also have Add permissions to Intakes > My Intakes and/or Others' Intakes.
To create an Intake from a Photo ID:
From Browse Intakes, click the + New Intake button or from the Create menu, click the Intake button.
Click the Actions menu on the top right and select Upload Photo ID.
Upload the Photo ID by dragging and dropping the file or clicking Browse to locate the file.
When the file has been added, click the Upload button.
A confirmation will display when the file has been uploaded.
The file will be analyzed and extracted information will be placed into the corresponding fields of a new Intake. These fields include First Name, Last Name, Gender, Date of Birth, Address (Home), Email (Business), Phone Number (Mobile, Business, or Fax as stated), and Online Account (Website - Type = Business, Platform = Website). Any data that already exists in these fields will be overwritten, except for Phone, Email, Address, and Online Accounts, where a new entry will be created.
Select the Intake Primary Staff to save the new Intake. The Last Name field must also be populated to save the Intake (without a Case Type). Ensure that all other required fields are satisfied when the Case Type is selected.
Click Save. The file will be uploaded into the Documents Tab of the Intake and given a Document Type of "Photo ID".
Extracted data can be reviewed on the Document > Related Items tab.
Double-click the entry to open the detail view showing all extracted fields.
A record of the AI-created Intake and uploaded document will be present on the Activity Feed (NeosAI Platinum).
