Browse Cases

The Browse Cases screen, which lists every case in your database, covering the filter criteria available above and behind the Filters button, the grid columns and sorting, CSV export, and the case preview pane.

Browse Cases is a list of all the cases in your Neos database. Specific cases can be located using filters. You can also access the ability to import cases and create a new case right from this screen. A new "Last Activity" column lets you quickly see which cases have been idle and require an update or review. Cases can also be favorited.

NOTE: To open cases/intakes from Browse Cases, staff will need at least Enabled permission to the Case Tab. For any staff that does not have "Access to Other Staff's Cases" (Special Permissions) or has case-specific and/or case type restrictions, those cases will still display in Browse Cases but access will be forbidden.

Click Browse Cases in the left navigation pane to display the full list of cases in your database. Cases will display in ascending order by default, if a sort has not been previously set.

Options in Browse Cases include the ability to Import Case and add a + New Case.

Filter Cases

Your firm's list of cases can be defined by selecting the following filter criteria.

  • Party Name – Type to filter by the first Party's Name. The First Party Name column can be added into the grid. The Party Name search field accepts a wildcard search when a comma is used. Spaces entered before or after a comma will be ignored.

    Use the following examples to search cases by the First Party Name:

    • Enter B[comma] "B," to find all cases where the last name begins with "B", e.g., Browney, Bob, Baker, etc.

  • Enter [comma]A ",A" to find all cases where the first name begins with "A", e.g., Abby, Alice, Anthony, etc.

    The search will become targeted as more characters are entered, e.g., "Sum, Je" will locate cases that start with "Sum" as the last name and start with "Je" as the first name.

  • Our Client – Choose Yes, No or Any. Neos defaults to Any, displaying parties that are and are not marked as 'Our client'.

  • Staff – Select the desired staff from the dropdown to filter cases assigned to one or more staff. Type into the Filter row to quickly locate a specific staff. Deselect any selected staff to search all.

  • Case codes – Select the desired class code(s) from the dropdown to filter cases containing specified class codes. Type into the Filter row to quickly locate a class code. Deselect any selected codes to search all.

  • Case types – Select the desired case type(s) from the dropdown to filter cases containing the specified case types. Type into the Filter row to quickly locate a case type. Deselect any selected case types to search all.

  • Case status – Choose Open, Closed or Open/Closed. Neos defaults to Open, displaying cases with an Open status. Open/Closed will display both open and closed cases.

Click the Filters button to access additional criteria.

  • Batch Number – Use the up and down arrows to locate cases that were imported based on their batch number.

  • Primary Staff – Select the check box to locate cases where the selected assigned Staff is also the primary staff in a case.

  • Dormant – Select the check box to locate cases marked Dormant. Cases can be marked Dormant to show it is not yet closed.

  • Party Roles – Select the desired party role(s) from the dropdown to filter cases containing the specified party roles. Type into the Filter row to quickly locate a party role. Deselect any selected party roles to search all.

  • ID Codes – Select the desired ID code(s) from the dropdown to filter cases containing the specified ID codes. Type into the Filter row to quickly locate an ID code. Deselect any selected ID codes to search all.

  • Date Range – Click the date field to enter the starting date to locate cases by their Case Open Date (COD). For a range, enter a date in the "to" (second) date field as well.

  • Alt Case # – Enter alphanumeric text to search for cases by their alternate case number 1. Neos will perform a contains search for any entered text.

  • Alt Case #2 – Enter alphanumeric text to search for cases by their alternate case number 2. Neos will perform a contains search for any entered text.

Click the Apply button to update the cases list with the filter results. Filter changes will be saved for the logged-in staff, in their current session. To return to the default settings, click the Reset All button and select Apply.

NOTE: Click the "X" next to each static filter you wish to remove to clear the filters located above the grid.

The Browse Cases grid has been updated to match many other grids in Neos. Columns can be added or removed using the three-dots button to the right of any column title. Rearranged columns by selecting the title in the grid and dragging/dropping it into the desired location. Column changes will be saved for the logged-in staff, in their current session.

Available columns in Browse Cases include: Case #, Case Type, First Party Name, Open Date, Case Name, Alt Case #, Last Activity, Primary Staff, DOI, Class, Status, LIM, Alt Case # 2, Synopsis, Our Client, Case Phase, Case Phase Display Name, Practice Area, and Batch Number.

NOTE: The Favorite (star) icon is always the left most column in the Browse Cases grid and cannot be removed.

Columns can be sorted by single-clicking the column title. The first click will sort ascending (arrow pointing up), and the second click will sort descending (arrow pointing down). The Last Activity column has been added to the Browse Cases grid by default. When a change has been made to a Case that triggers an Activity Feed entry in the last minute, the Last Activity column will change to "Now". As time passes, the Last Activity column will display the minutes within the last hour, hour(s) within the last 24 hours, day(s) within the last 7 or less days, and date within the last 8 or more days.

The full Browse Cases grid can be exported as a CSV by right-clicking anywhere in the grid and choosing Export CSV. The download will immediately initiate. Click to access the downloaded CSV file from the Downloads button on your browser.

Select a case/intake from the results to display a side pane about the case/intake. To open the case folder, click the View button. To close the preview, click the X icon. The Party can be viewed by clicking their Party information.
