Hona Integration

Hona (formerly Milestones) is a client communication system that can automatically update your clients when tasks are completed in Neos. With a simple setup, your firm can determine the Neos actions that will trigger an update or message to be sent to the client in a case. Text messages will be sent with a link to a webpage that can be customized with embedded videos, FAQs, your firm logo/color scheme, and any other information you want your clients to see, such as the team members assigned to their case. Using the link, your client will log in with their phone number or email address. Hona will send them a verification code to use as their password. This integration enhances your client's experience, by providing them with a visual timeline of their case. Firms can view a history of all notifications and mass message clients. Using their Google Chrome extension, messages can be sent to case contacts directly in Neos (more details below). Additionally, Hona allows your firm to request Google reviews, send drip notifications, assign forms, and schedule events. Mass SMS and/or Email can be triggered through Hona and include a fallback option if one should fail.

NOTE: Your firm must already have their offered service before activating the integration in Neos.

To connect your firm's Hona (formerly Milestones) integration:

  1. In Neos, navigate to Settings (on the left navigation pane) and click the Integrations button.

  2. Select the Hona tab.

  3. Use the Staff field to select the Neos user email address that should be used to enable the Hona integration.

NOTE: For security purposes, Neos recommends an integration-specific staff be created for enabling each integration (e.g., "Hona Integration") and given the proper permissions. Add the following details to the Staff Profile for this integration-specific staff:

  • Full Name, e.g., "Hona Integration"

  • Staff Code, e.g., "Hona"

  • Job Title Create a job title, e.g., "Integrations" in the Job Title Mini Directory that can be selected for this required field.

  • Time Zone, as applicable to your firm

  • First Name, e.g., "Hona"

  • Last Name, e.g., "Integration"

  • Active – checked

  • Email Address, e.g., "[email protected]"

  • Password – meet minimum qualifications

Since the entered email address does not need to be connected to an Office 365 account, it is recommended to enter a dummy email address, such as "[email protected]". Once the integration-specific staff has been added, you must refresh Neos to see that staff in the "Email address to connect to" dropdown. Using this configuration, the integration-specific staff will not count towards your firm's billable users.

To limit the necessary permissions required for this integration, creating a separate integration-specific staff for each integration at your firm is recommended.

The Hona Integration user should have full administrator permissions (enabled, add, modify, and delete) to General > Interfaces. Contact Hona for a full list of permissions needed to integrate with Neos.

4. Click the Activate button.

5. When complete, the connected email of the selected staff will display.

6. Hona will work with your firm to configure your account and portal with the Neos integration. This includes a new user-defined Yes no field added to the Neos Party Tab > Plaintiff role for all applicable Case Types. The Hona support team is anxious and ready to help. Their Chrome extension works to send messages to/from Hona while inside Neos. Messages sent with the Hona extension are saved in the Notes Tab of the Case.

The connected staff/email can be disconnected by clicking the Disable button.
