The Documents Tab shows all documents for the current Case in a list. The List View is the recommended and default view to manage Case/Intake documents. Using the List View, your documents will properly exist in Neos and SharePoint. NOTE: If your firm did not purchase Document Importing with Neos, the List View will not be available.
The Folder View serves only as a means to view the folder structure for the current Case as it appears in SharePoint. It is strongly advised that the Folder View only be used to view and NOT manage (add, modify, delete) documents.
NOTE: You must have Enabled permissions to Case > Documents Tab.
To sort the Documents Tab:
Open the desired Case and select the Documents Tab.
On the list view, click the Views dropdown to sort the list of documents.
Neos saves your last selected view (Folder View or List View) and will display that view the next time you access the Documents Tab.
Refer to each view and recommendation below.
List View
The list view is the default and recommended view for managing documents. This view shows all documents in the active Case/Intake.
The All Files Document Type will be selected by default when opening the Documents Tab. Use the three-dots menu to the right of each column title to access the list of columns that can be added or removed. Documents can be searched by title or content and filtered using Tags, Category, and Document Date.
NOTE: When a Document Type tab is selected, the Views dropdown will be hidden.
Folder View
The Folder View shows the SharePoint folder structure of all documents in the Case/Intake. NOTE: The Folder View can only be used when the All Files Document Type is selected, showing all documents within the Case.
When documents are assigned a Type in Neos, a folder of that type is created in SharePoint.
The Folder View mirrors the folders and documents (including those without a Type) in SharePoint for the current Case/Intake.
NOTE: It is strongly recommended that only the List View be used to manage documents in Neos. If a document only exists in SharePoint, follow the Adding Documents from SharePoint KB to add it in Neos.
Visible columns in the Folder View include Name, Document Date, AI Extract (requires NeosAI Platinum), Type, Category, Tags, and Path. Click the three-dot menu to the right of any column title to add or remove columns.
NOTE: The Folder View will automatically change to List View when a Document Type tab is selected, however, selecting the Document Type folder will keep you on the Folder View.
Documents in the Case Folder View can be searched by document title and content and filtered by Type, Tags, Document Date, and Category. Document content search includes documents in Neos and only in SharePoint. The content search in SharePoint matches document content, file name, and metadata. The Type, Category, Document Date Start/End, and Tags filters show documents in Neos that contain the selected filters.
Files within subfolders can be filtered in the Documents Tab Folder View. Folders are listed first, followed by documents that do not have a Type assigned. When a Type is assigned to a document, it will be moved to the appropriate folder of that Type.
Click the desired subfolder to locate specific documents. You may also use the Document Search or Document Filters to find documents within the selected subfolder (Document Type).
NOTE: While Bulk Actions can be performed on multiple documents in the Folder View, it is best to manage documents in Neos from the List View.
To return to the root folder, click the folder name at the beginning of the breadcrumb trail.
