The General tab contains descriptive Info about the Case Type, including the Header Display and Practice Area, which is used in conjunction with Case Phases. Staff Assignments include a new Est. Time Spend field, used in conjunction with Case Budget. Case Budget displays options for showing the current budget of a case and warning threshold notifications. The Case Type can be duplicated and automations can be added.
NOTE: You must have the proper permissions to Directories > Case Type. Modify permissions are needed to make changes.
Complete the following details in the Info fields.
Case Type – This is a unique and required field in order to add a new or modify an existing case type. The case type code is used to indicate the case type as each new case is entered.
Header – Enter a short description of the case type. The header will display with the code on the top left.
Description – Enter a full description of the case type.
Header Display – Case Headers are now configurable by Case Type, allowing members of your firm to efficiently find information about a Case from any tab. Choose from a list of fields to customize the Case Header for all cases of a Case Type. Each Case Type can have different configurations.
Options include Case Dates and Staff Roles, as well as other fields from the Case (Alternate Case #1 & #2, Billing Client, Referred By, Referred To, Source, Synopsis, Marketing Campaign, Case Title, Docket, Court, Judge, First Party DOB, First Party DOD, First Party Gender, and First Insurance Adjuster Name), Value Totals (Total Value, Total Due, Total Damages, Total Attorney Fees, Settlement Amount, Total Case Expenses, Total Liens, Due To Firm, Total Reduction, Total Adjustments, Total Payments), and Time Totals (Total Time Tracked, and Total Billed).
Click and drag the desired field(s) from the Field Options list box to the Displayed in Header list box (use Ctrl + click to select multiple). Selected fields can be reordered by dragging above or below. To reset to the default header, click the curved arrow icon. The reset icon will be enabled when changes to the header have been made. Case #, Case Type, and LIM Date are required fields on the Case Header.
Information in these fields within each case of a Case Type will display in your desired placement on the Case Header when it has been added to the Displayed in Header list box, (e.g., Staff 1 will display the staff's full name from their Staff Profile "Staff 1: Lorraine Rolston").
Practice Area – Select the practice area for each Case Type. Firms may choose from Personal Injury Law, Labor Law, Criminal Law, Immigration Law, Family Law, Insurance Defense, or Other. This selection will affect the phases available in the Case Phase dropdown on the Labels Tab. The Case Phase display name field will not be changed. Practice Area is a required field and will default to 'Other'. This field can be used in Advanced Search reporting of 'Cases' and 'Intakes & Cases'.
LIM Applicable – Select the check box if this case type has a statute of limitations. When deselected, the LIM Date in a Case Folder will display "N/A".
Active – Select the check box if this case type is actively in use. Deselect if the case type is inactive. A check
icon will display for active case types or a no 
icon will display for inactive case types in the Active? column of the Case Type list view. If the case type is marked inactive, it will not be available for new cases; however, you will be able to select the case type for reports.
Allow Future Date Of Incident – Select the check box if this case type has a date of incident that can occur in the future. When deselected, a validation will display if a future date is entered in the Case tab Date of Incident field.
Track Time – Select the check box if time should be tracked in cases of this case type. Time Tracking must be activated for this option to appear on the General tab.
Enable Settlements – Select the check box to allow the use of the Settlement Calculator, Settlement tab (in Value), and Settlement Memos. This setting will be checked/enabled by default for existing and new Case Types.
Enable Disbursements – Select the check box to allow digital disbursements to be sent to clients for new and existing cases. This setting will be unchecked/disabled by default. If the Digital Disbursement integration is not enabled, this check box will be disabled.
NOTE: Enable Settlements must be selected first in order to select the Disbursements option.
Staff Assignments
The Staff Assignments section allows you to assign a Staff Role and the default Staff to be used for all Cases of a Case Type. At least one Staff Role must be selected for a Case Type to be saved. There is no limit to the number of Staff Roles that can be assigned to a Case Type.
NOTE: Staff Roles must be unique.
Use the grid to select desired staff settings for cases of a case type. Staff Assignments can rearranged using the two lines to the left of the Staff Role field.
NOTE: When adding a new Staff Assignment, first fill in the required and optional fields, click Save, then, rearrange the order using the hand icon

The order of Staff Assignments in the Case Type Setup determines the order of Staff Roles in the Assigned To section of a Case.
Click the Add icon
to include as many staff assignments as needed.
Staff Role – Select the staff role to be used in conjunction with the case type. Staff Role is a required field. These are labels that will be displayed in the Assigned To section of the Case tab. Staff Roles are defined in the Staff Role Mini Directory.
Default Staff – You may choose to define specific default staff for each staff role. If chosen, the default staff will display on all new cases of the case type. Staff are created in the Staff Directory.
Primary – The first created row will become the primary staff as the default, showing
. The Primary Staff Role is always required. Only one Staff Role can be assigned as the Primary.Required – When additional staff assignments are created for a case type, you may mark them as required. This means that a staff must be selected in the Assigned To section of the Case tab in order to save the case. The Required check box is only visible once a staff assignment is assigned as the Primary. Multiple staff assignments may be marked as required.
Receive Notifications – Premium Texting firms can configure text message notifications by Staff Role in the Case Type. Select the checkbox next to each Staff Role to be notified of messages received in a conversation. If the Staff in the Staff Role is already in the Text Message Conversation and set to receive notifications, they will only receive one notification for the new message.
Est. Time Spend – Enter the number of hours that this staff assignment may spend on cases of this type for analytics and reporting. This field is used in conjunction with the Case Budget feature.
Click the Save button to save changes. Choose how changes to Staff Assignments should be handled for open Cases of this Case Type.
Click Yes to update all open Cases with changes to the Staff Assignments (this includes existing and future Cases).
Click No if you do NOT want to update open cases of this Case Type with the updated Staff Assignments. Any future cases using this Case Type will contain the updated Staff Assignments.
Case Budget
A new Case Budget feature can be added to a Case, visible in the Case Header and in the Value Tab > Funds view. Based on Case Type, the Case Budget allows budgets (using Only Fees or Fees and Costs) to be created for a case and warnings to trigger when a case reaches a configurable percentage of the total budget or number of hours spent from the budget (based on the Est. Time Spend field in Staff Assignments). The Case Budget is turned on at the Case Type level but can also be adjusted on an individual Case level as well.
NOTE: The Case Budget will be disabled by default for all existing cases but can be turned on at the case level by going to the Value Tab > Funds view and selecting "Enable".
NOTE: Staff must have Enabled and/or Modify permissions to Case > Case Budget to view and/or modify a Case Budget in the Case.
Configure Case Budget
To configure the Case Budget:
Navigate to the desired Case Type and select the General Tab.
Scroll down to the Case Budget section.
Click the Enable checkbox to display additional fields.
When enabled, enter the following fields to create the Case Budget for all new cases of this Case Type.
Budget Limit – Enter a value greater than 0 of the estimated budget for cases of this Case Type. This is a required field.
Warning Threshold – Select the checkbox if you would like a colored warning to display when the Case Budget has reached the calculated percentage of the Budget Limit. Enter the percent of the Warning Threshold. Neos will calculate [Warning Threshold x Budget Limit] and display the value below the field. When enabled, all case staff will receive a notification when the case reaches the Warning Threshold and when the case goes over the Budget Limit. This field is turned off by default.
Include – Use the dropdown to choose what Value Code Types should be used to calculate the Case Budget. Choose between Only Fees OR Fees and Costs. Fees include: Attorney Fees, Fixed Fees, and Time. Fees and Costs include: (Attorney Fees, Fixed Fees, Time), Case Expenses, Due to Firm, Travel, and Debt Pay.
Show In Case Header – Select the checkbox to show the Case Budget on all cases of this Case Type. When unchecked, the Case Budget will only display in the Value Tab > Funds view of a Case.
5. Click the Save button to keep your changes.
Disable Case Budget
To disable the Case Budget for all cases of a Case Type, click the Enable button. Confirm your intention on the Disable Case Budget warning message. The Case Budget for all cases will be disabled, even if the budget has been modified for individual cases.
NOTE: Individual Case Budget settings will be retained if the Case Budget is re-enabled in the Case Type.
