Advanced Search is a powerful tool for locating data in your Neos database. There are many Search For records and filter options that can be used to build your query. Some of these options from R to Z are outlined in this article.

Staff Filter – Time Search
Staff Created filters and columns have been renamed to "Staff" and "Staff Created" when performing an Advanced Search for Time. This change helps differentiate between the staff that created the time entry and the staff that was chosen in the dropdown of the time entry.
Staff Filter – Current User
All Staff filters now include "<Current Staff>"in the value field. When the operator is set to Equal, Excludes, Includes Any Of, or Not Equal, the next dropdown will show "<Current Staff>" at the top of your firm's Staff dropdown. When "<Current Staff>" is selected and Run Search is selected, results will display for the current logged in user.
NOTE: When a subscription has been created based on a saved query using the "<Current Staff>" filter, the currently logged in staff that created the query will always show, even when forwarding the report to another email or staff.
If the saved query is used in a table tile in My Dashboards, the currently logged in staff will see data relevant to them, regardless of whom created/saved the Advanced Search query.
Time Search
To better align with industry standards, the Start Time and Stop Time filters and columns have been replaced with Entry Date/Time (displays in logged-in Staff's time zone) and Entry Time. The Entry Time references the time an entry is made, not a staff's start time. Firms can cross reference Time Spent and Date/Time fields, if needed. For the total time, use the Time Spent filter and column. Refer to the example of filters and columns below.
Text Message From/To Phone Number
"Text Message From Phone Number" and "Text Message To Phone Number" criteria and columns can be used when searching for Notes that were created from text message conversations.
User Defined Fields
The Filter field has been optimized to allow for faster retrieval. User defined fields for Case User Defined Data and User Tabs 6-10 are now grouped.
When conducting a Name search, a section for Provider User Defined Data has been added which lists all user defined fields associated with each role. The fields reflect the configuration in the Layout Manager > Provider.
Provider User Defined columns are also available in the Choose Columns window, prefixed with "(Provider)".
Value – Grouped View
With the recent changes to the Value Tab view, an Advanced Search query can be created to simulate the previous grouped view. A simplified grouped view, showing Value entries for the active case grouped by Value Code can also be accessed from the Value Tab list view > Actions > Reports For Case option. Double-clicking a result entry will open the Value item within the Case.
Criteria and columns for "Total Payments" and "Total Adjustments" have been added when conducting an Advanced Search on Value. These columns cannot be summarized or aggregated.
Criteria and columns for "Balanced Due" and "Balanced Amount" have been added when conducting an Advanced Search on Value. These columns will accurately display amounts as positive or negative based on whether the item is a credit or debit – no calculations are being performed unless columns are summarized and/or aggregated. For example, if a Value item is a credit (e.g., SETTLE) and the Total Amount column shows $1,750, the Balanced Amount will show $-1,750 to reflect the actual amount.
Search for Value
Filter for Case > Select Case and set to Equal the desired case number.
Click Run Search.
Insert the following columns:
a. Value Code Title
b. Service From Date
c. Service To Date
d. Value Provider Name
e. Memo
f. Total Amount
g. Reduction
h. Amount Due
On the following columns, click the kebab menu to Summarize > Sum data:
a. Total Amount
b. Reduction
c. Amount Due
On the Value Code column, click the kebab menu to Group by this column.
