NeosAI simplifies data entry with its advanced document extraction capabilities. With NeosAI, you can upload documents and let AI extract key details, automating the data entry process. Analyze with NeosAI can be performed for single documents or multiple documents in bulk that already exist in Neos, and for new documents on upload using drag & drop.
Analyzed data is automatically inserted into Dynamic Layouts on the Document Detail View > Related Items tab based on the extraction(s) selected.
Neos will automatically OCR PDFs that are not already text-searchable during AI Analysis. When OCR is complete, the PDF can be used for the Document Summary and/or Medical Record Extraction.
NOTE: Your firm must have NeosAI and a user must have the NeosAI Special Permission enabled.
Bulk AI Analysis
Multiple documents of different Document Types can be analyzed using the Analyze with NeosAI option on the Bulk Actions menu.
NOTE: Creating Value records must be performed manually after the bulk AI analysis.
Single AI Analysis
Individual documents can be analyzed from the list view using the Analyze button, Analyze with NeosAI on the three-dot menu, or Analyze with NeosAI on the detail view.
When any of the options are selected, the Analyze with NeosAI window will display. You can now choose the type of data you wish to extract from a document using any Document Type.
Data Extraction
Data extraction can be performed on any selected Document Type, now allowing multiple extractions on the same document. If you choose a Document Type where standard Document Type fields are selected, Neos will default to the related extraction type; however, you may choose a different data extraction or include additional extractions.
NeosAI can perform extractions for:
Medical Data [extracts Treatments, Medical Conditions, Examinations, and Medications]
• Supported file types: PDF, TXT, and DOCX
Contract Data [extracts Key Dates, Parties, and Jurisdiction information]
• Supported file types: PDF, JPG/JPEG, PNG, and DOCX
Contact Information [extracts Contact information]
• Supported file types: PDF, TXT, and DOCX
Financial Data [extracts Financial Details from an Invoice or Receipt]
• Supported file types: PDF, JPG/JPEG, PNG, and DOCX
Identification Data [extracts Party Details from a Photo ID, Business Card, or Health Insurance Card]
• Supported file types: PDF, JPG/JPEG, PNG, and DOCX
If the file does not have a Document Type or "Medical Record" is the type, the Contact Information extraction will be automatically selected. Refer to Medical Record Extractions for details on Medical Record Document Types.
Summarize Document
Within the same Analyze with NeosAI process, documents with supported file types can be analyzed to extract data and create a Document Summary. Select the Also generate a summary of this document check box.
Create Value & Party Records
The option to Create value and party records from extracted information will be automatically checked when Financial Data and/or Identification Data is selected. Party records can now also be created in bulk.
Click the Analyze button at the bottom of the Analyze with NeosAI window. The Progress/Complete status window will display.
If Create value and party records from extracted information has been selected, the Create Parties from Analysis screen will display first. Refer to Create Values Records From Invoice or Create Values Records From Receipt to complete the process for single documents.
Create Parties
Select or edit the following field data. The trash can icon will remove the Party from the creation list. Click Reset All Changes to revert the original values.
Party Name – Populates with the Name from your extracted data for Photo ID and Business Card. This is a required field. Click the pencil icon to view the Name Details and make any changes. For example, the full name may have been extracted into the First name field. Last name is required.
Role – This field is blank by default but is required. To assign the same role to all extracted names, click the select all check box and then choose the Role from the active list of Party Roles.
Address – Populates with the Address from your extracted data for Photo ID and Business Card.
• If creating a Party from a Photo ID and the Address, Phone Number, or Email is populated, the Address and Phone Number Type will be set to "Home" and the Email Type will be set to "Personal".
• If creating a Party from a Business Card and the Address, Phone Number, or Email is populated, all Types will be set to "Business".
Click the pencil icon to access the Edit Address window. If adding or editing an address, the Type and Address Line 1 fields are required to save.
Phone Number – Populates with Business Phone from your extracted data for Business Card.
Email - Populates with the Email from your extracted data for Business Card.
Click Save when complete. The following fields will also be added to the Party if they are populated in the Dynamic Layout (these do not show in the Party creation grid above): Gender, Date of Birth, Phone Number, and Online Accounts.
Extraction Details are present on dynamic layout fields that are populated by AI extraction. NOTE: AI extraction could result in duplicate entries. Review created entries and remove any unwanted items. The extra info button shows a popup with the Extracted Value (actual value from the document). For Date, Time, and Gender field types with specific formatting requirements, the arrangement of data in Neos may differ slightly from the extracted value.
When contacts have been extracted, a new Contact dynamic layout will display at the top of the Related Items tab for that document. All contacts from your document will be added as entries within the Contacts dynamic layout section. Changes can be made by single-clicking an entry to view the preview pane or by double-clicking an entry.
When a document has been extracted using Contract as the extraction type, a new Contract Dynamic Layout will display at the top of the Related Items tab for that document. Changes can be made by single-clicking an entry to view the preview pane or by double-clicking an entry.

When AI extractions (Medical Data, Contract Data, Contact Information, Financial Data, and/or Identification Data) have been performed on a document, a checkmark icon will display in the Documents Tab grid under the AI Extract column.
NOTE: Document Summaries alone will not display a checkmark in the AI Extract column.
