Entering Value Transactions

Learn how to add and manage Value Transactions, including payments and adjustments, entering transaction details, using Create Due to Firm, and generating Check or Deposit requests from the Value Tab.

All transactions that coincide with a Value item, such as payments, insurance adjustments, write-offs, and interest charges are tracked in the Transaction Details section. Amounts entered in Transaction Details will cause the Adjustments, Payments, and Due fields to be recalculated. A list of transactions will display in the Transaction Details section of a Value item.

The Transaction Details section of a new Value item will be hidden until all required fields are entered and the Value entry is saved.

This article details how to access and create a new Value Transaction, access the Create Due to Firm toggle, and access the Create a Check/Deposit Request toggle.

NOTE: You must have Add permissions to Case > Value Tab to create transactions (Payments and Adjustments).

You may also need:

  • Enabled permissions to Special Permissions > Turn off DTF creation

  • Add permissions to Accounting > Checks and/or Accounting > Deposits to create a check or deposit request

Transactions can be added for Value items from the list view or detail view on the Value Tab.

List View

From the Value Tab list view, click either the Add Payment button or Add Adjustment button on the kebab menu. The Add Transaction window will display with Payment as the default Transaction type when the Add Payment button is clicked or Adjustment as the default when the Add Adjustment button is clicked.

NOTE: Transactions can also be added using the Add Transaction option in the Bulk Actions menu.

Detail View

From the Value Tab detail view, scroll down to the Transactions section and click the add icon .

The Add Transaction window will display showing the Value Code for this Value item and the total amount Due (minus any reductions, payments, and adjustments). Enter the following information to add the new transaction.

  • Amount – The full amount due is automatically populated. Click the field to enter a different amount for this transaction. The remaining amount due displays below this field and will automatically adjust based on the entered value. Negative amounts will display in parentheses in the Value Tab.

  • Type – Select if the transaction is an Adjustment or Payment. Type is a required field and will default to 'Payment'. When 'Debit' is selected in the Credit/Debit field, the Type will automatically default to 'Payment'.

  • Transaction Date – Enter the date of the transaction or click the calendar icon to select a date. Today's date is set as the default.

  • Credit/Debit – Select if the transaction is a Credit or a Debit. This is a required field and will lock to 'Debit' when the Type is set to 'Payment'.

  • Paid By – Select the category of the Payor, which is populated from the Paid By Mini Directory. Paid By information is used to summarize where payments are coming from and is used in Reports and Settlement Memos. Neos defaults to 'Us' as the Payor. When the Paid By is set to "Us", the Create Check Request slider is defaulted to "on".

    NOTE: When the Paid By field is selected, details from the Paid By Mini Directory will automatically populate with the associated information in the Credit/Debit field.

  • Paid To – Select the category of the Payee, which is populated from the Paid To Mini Directory. Paid To information is used to summarize where payments are going and is used in Reports and Settlement Memos. Neos defaults to 'Provider' as the Payee.

  • Fund – Assign a fund to this transaction to automatically link to the proper account. The Fund field will be blank by default. When a fund is selected, the transaction will display in the Funds tab view within the Value Tab and Accounting Tab. Funds can be linked to your firm's LawPay account. NOTE: Funds can only be created in the Accounting Tab > Funds view.

  • Payment Method – Select the transaction payment method. Options include: Paper Check, Credit Card, American Express, Discover, MasterCard, Visa, Cash, ACH, Zelle, PayPal, Venmo, Gift Card, e-Check, E-MasterCard, Physical, MasterCard, E-Prepaid Debit Card, Physical Debit Card, and Other.

  • Reference – Add any additional information about the transaction, such as a check number or other method of payment. When using the QuickBooks SDK Integration, the check number, "Deleted", or "Void" information can be automatically populated in the Reference field when a check is printed, deleted, or voided from QuickBooks, AND the Auto Run timer is set to a value over zero.

Create Due to Firm

When the Value Code in the active Value item is flagged as a DTF in the Value Codes Mini Directory and a value (greater than zero) has been entered in the Amount field on the Add Transaction window, the Create Due to Firm option will be available. When the toggle is on, a Due to Firm (DTF) Value item will be created when the transaction is saved. Refer to Adding and Changing DTF Value Items for more details.

NOTE: Staff who have the Turn off DTF creation permission disabled in Staff Profiles > Special Permissions, cannot turn off the Create Due to Firm option in the Add Transaction window. The option will display on and disabled as shown below.

Create Check or Deposit Request

When entering a transaction for a Value item, the option to create a corresponding Check or Deposit request is available depending on the selected Value Code and granted permissions. Check and Deposit requests display in the Accounting Tab and can be posted to QuickBooks Online or exported as an IIF file. If your firm uses the QuickBooks SDK integration with Neos, Check and Deposit requests can be posted to QuickBooks from the QuickBooks Integrator.

NOTE: If your firm uses the QuickBooks Online integration, ensure the global Sync Preference is set to either "Sync Check & Deposit Requests (Default)" OR "Sync Approved Invoices and Check & Deposit Requests", otherwise, the Create Check/Deposit Request toggle will be hidden.

In order to access the Create a Check Request or Create a Deposit Request toggle, the following must be in place.

  • Check Request

    • Add permissions for Accounting > Checks

    • Value Code must be flagged as 'Debit' in Value Codes Mini Directory

    • Value Entry Amount and Transaction Amount must be greater than zero

    • Paid By must be flagged as 'Debit' in the Paid By Mini Directory

      NOTE: To set the Debit Account and Credit Account fields on the Check Request window, you must have Special Permissions > View Credit and Debit Accounts.

    • Transaction Type must be set to 'Payment'

  • Deposit Request

    • Add permissions for Accounting > Deposits

    • Value code must be flagged as a 'Credit' in the Value Codes Mini Directory

    • Value Entry Amount and Transaction Amount must be greater than zero

    • Paid By must be flagged as 'Credit' in the Paid By Mini Directory

      NOTE: To set the Debit Account and Credit Account fields on the Deposit Request window, you must have Special Permissions > View Credit and Debit Accounts.

    • Transaction Type must be set to 'Payment' (this change corrects a previous workaround)

Click Save to save the transaction and close the window. The Add Check Request or Add Deposit Request window will display. To add additional transactions, click Save and Add Another.

Adjustments, Payments, and Due fields of the Value item will be recalculated based on the amount and type of the saved transaction(s).

Click Cancel to close the Add Transaction window and discard the new transaction.

NOTE: When Save and Add Another is selected on the Add Transaction window but you Cancel the Add Check Request or Add Deposit Request window, the Check/Deposit request will be aborted and you will be shown a new Add Transaction window.
