Send-Receive SMS Texts with iMessage

Neos sends text messages to the recipient's phone number using their carrier's SMS email (e.g., @vzwpix.com). Apple iPhone users who have enabled their work email address (Microsoft Office 365 that is used with Neos) to send/receive messages using iMessage, will notice that text message replies display on their personal device, as opposed to their Outlook email. To utilize the full benefits of Outlook and the Neos add-in, we recommend text replies be sent directly to your Outlook application.

To confirm if your work email is linked with iMessage:

  1. On your Apple device, go to Settings > Apps > Messages > Send & Receive.

  2. If your work email is linked with iMessage, it will be displayed in one or both sections.

There are two ways to solve this situation so your work emails are properly routed.

Remove Linked Work Email

The suggested and fastest way to ensure your work emails do not get sent to your personal device is to remove the link from iMessage. Using the instructions above, simply deselect your linked work email. Now, any future SMS replies will be sent as an email to Outlook.

Create Office 365 Distribution Group

If you wish to keep your work email linked but instead receive SMS replies to Outlook, you will need to set up an alias to send messages from Neos.

Since Microsoft does not allow users to send emails as an alias, a Distribution Group must be created for each user with Send As permissions, which allows Microsoft to send emails to the users in the group.

NOTE: Only the Office 365 Admin can create the Distribution Group.

  1. Log in to the Office 365 Admin Portal.

  2. Click the tile button at the top left corner of the site page.

  3. Select the Admin button in the list of available options.

    NOTE: This button is only available for Global Admins.

  4. In the Admin center, click Show all on the left pane.

  5. In the Admin centers section, select the Exchange option.

  6. Within the Exchange Admin Center, expand Recipients on the left and click Groups.

  7. In the right pane, click Add a group.

  8. Under Choose a group type select Distribution group and click Next.

  9. Now type the display Name. This will be the name shown in the Outlook Global Address Book. You may also enter a short description (this is optional). Click in the Description box to enable the Next button. You can then click Next.

  10. Type the Group email address. This is used to generate the email address.

  11. Under Communication, check the Allow people outside of my organization to send email to this Distribution group checkbox.

  12. Set Joining the group to Closed so only group owners can add members.

  13. Set Leaving the group to Closed so only group owners can remove members.

  14. When steps 10-13 are complete, click Next.

  15. Review your selections and then click Create group.

  16. On the confirmation page, click Edit group settings.

  17. Click Members to review adding members and owners as needed.

  18. Add Members first. These will be the users that receive emails sent to this group. Click Save changes when finished.

  19. Set any additional Owners afterward. The admin can be left as the Owner or set to another user. Click Save changes when finished.

  20. Click on Settings and click Edit manage delegates.

  21. Click Add a delegate and select the users who will send emails as this group. Click Save changes when finished.
