Connect QuickBooks Online to Neos

The QuickBooks Online integration is for firms that currently use QuickBooks Online as their account software and that are looking to enhance their accounting capabilities with Neos. Online users can enter deposits and request checks from anywhere. Value transactions and time entries attached to Cases are shown in the Accounting Tab. When you are ready to sync information to QuickBooks Online, users can simply 'Post to QuickBooks'.

Value Transactions are represented as checks and deposits. Neos Parties are entered as 'Customers' and Providers are entered as 'Vendors' in your QB Online account. When changes are made in QuickBooks Online (e.g., voided checks or name changes), modifications are synced back to Neos daily.

Neos allows one QuickBooks integration to be enabled at a time. When enabling the QuickBooks Online integration, the QuickBooks SDK integration will become disabled and vice versa. The QuickBooks Online integration can only be used with QuickBooks Online, while the QuickBooks SDK integration can only be used with QuickBooks SDK (desktop). Your firm's expense accounts should already be configured in QuickBooks.

To migrate your QuickBooks SDK company to a QuickBooks Online company, contact Intuit. Your firm must have the Simple Start QuickBooks Online subscription or higher.

NOTE: You must have Enabled, Add, and Delete permissions to General > Interfaces to access the Integrations tab, enable (add) QuickBooks Online, add your firm's QuickBooks Online company, and disconnect (delete) the QuickBooks SDK integration, if applicable.

To connect Neos to QuickBooks Online:

  1. In Neos, navigate to Settings > Integrations.

  2. Click the QuickBooks Online tab and select the Set up QuickBooks Online button.

  3. If your QuickBooks SDK integration is currently connected, you will receive the following warning. Click Continue to disconnect the QuickBooks SDK integration and enable QuickBooks Online. The QuickBooks SDK integration will show "Not connected" and the QuickBooks Online integration will show "Connected".

When first connecting QuickBooks Online to Neos, the list of companies will be blank. Click the + Company button to connect your firm's QuickBooks Online account.

NOTE: You must have Add permissions to General > Interfaces to add your QuickBooks Online company to the integration.

4. A new window will open, prompting you to sign in to your Intuit account (the same credentials for logging into QuickBooks Online). Enter the Email or user ID and the Password. Click Sign In.

5. If your firm has more than one QuickBooks company, select the desired company from the dropdown.

7. If there is only one company connected to your QuickBooks Online account, it will be immediately connected.

8. Click Connect to authorize Neos to communicate with your firm's QuickBooks Online account and agree to the Terms of Service.

9. The connected company will display in the list of companies on the Integrations > QuickBooks Online tab as Active.

NOTE: Use the slider to deactivate a company from the list. To reactivate, simply move the slider to Active.

If the connection is severed from QuickBooks Online, the Company file can be reconnected by clicking + Company, which will prompt the connection messages above.

NOTE: The Firm Preference Accounting Integration setting for syncing checks, deposits, invoices, and value records will reset to the default when reconnecting your QuickBooks Online company.

10. Once the integration is connected to your QuickBooks Online company, the Checks, Deposits, and Names tabs in the Accounting Tab are no longer read-only.

NOTE: If the Checks, Deposits, or Names tabs are open while the integration is being connected, you will need to close the Accounting Tab and reopen to have full use.

A new Settings slider has been added to allow any changes to a contact's name and/or address in Neos to automatically sync to QuickBooks Online for that linked Customer or Vendor (when the Name Sync is set to "Link & Update").
