Transitioned Firms- Separating Companion Case Documents in SharePoint

This occurs only after a transition as newly created cases all have their own SharePoint folder as soon as a document is added. It also generally only occurs with Companion Cases. These instructions assume the cases are in a Companion Group.

  1. The staff member following these directions needs to have the Special Permission "Change Case Folder".

  2. Open the main Case Folder/Client and select the Documents Tab. Click the settings menu and select the Change Case Folder option.

  3. Search for the Case Folder/Client. Click on the row of the folder without clicking on the name itself as that will open the folder rather than select it. A good spot in the row to click is highlighted below. Click the Select button when the correct folder is selected.

  4. If the folder is not linked to another Case (likely another Companion Case, if it is), Neos will link the Case to the selected folder in SharePoint.

  5. Proceed to the other Companion Cases and add a sample document in each. Once done, confirm the Case is linked to its own Case Folder that contains the Party Name and Case # by going to the Documents Tab and clicking on the settings menu > Open in SharePoint.

  6. Finally, review the documents in the main Case Folder/Client and copy or move them to the correct Companion Case. Select each document you want to move using the checkboxes and select Bulk Actions > Copy/Move to Other Case(s).

    What if you are unable to complete Step 3 above because another Companion Case is linked to the folder that belongs to the main Case Folder/Client?

  7. If the SharePoint folder for the main Case Folder/Client is already linked to another Companion Case, Neos will not allow you to link the main Case to that folder in SharePoint. You will need to manually create a folder in SharePoint for the other Case, so that you can change the other Companion Group Case to that new folder, which will then free the SharePoint folder and allow it to be linked to another Case. Navigate to your firm's Clouddocs SharePoint site > Case Files Document Library. Click on the New dropdown and select Folder. Type in the desired folder name, which is generally the <Client Last Name, Client First Name – Case Number>.

  8. Return to Step 2 above and proceed to link the Case to the new folder you created in SharePoint. It will unlink the Case from the current folder and allow you to link it to a different Companion Case.
