Add New Invoice

Invoices can be created for Value items marked as a Fee or Cost from the Value Tab list view or from the Invoices Tab list view.

NOTE: You must have at least Enabled permission to the Case > Value Tab and Add permissions to the Case > Invoicing Tab to add a new Invoice.

The Invoiced column shows the Invoice status for each Value item.

  • Pending Invoices are marked with

  • Not Invoiced Value items are marked with

  • Value items that cannot be invoiced are marked with

  • Invoiced (status of "DUE", "OVERDUE", or "PAID") and locked are marked with

Value items that use Value Codes flagged as a Fee or a Cost can be invoiced. Fees and Costs are configured in the Value Codes Mini Directory using the Type column.

  • Fees use the "Fixed Fees", "Attorney Fees", and "Time" Value Code Types.

  • Costs use the "Case Expenses", "Damages", "Debt Pay", "Due to Firm", "Lien", "Subrogation", and "Travel" Value Code Types.

To add a new invoice for a Value item:

  1. On the Value Tab, click the checkboxes of the Value items for which to create invoices. New invoices can also be created from the Invoices Tab using the + New Invoice button.

    NOTE: Only Fee or Cost Value items that show a hollow circle can be invoiced. Refer above for more details.

  2. Click the + Create Invoice button above the grid.

NOTE: If your firm has the "Require Time/Value Approval" Invoicing setting turned on in Firm Preferences, this option will be enabled when all selected entries have not yet been invoiced (hollowed circle items) that show an Approved status, and have the same Bill To.

Add From Invoices Tab: If adding a new invoice from the Invoices tab, complete the required fields on the New Invoice window.

NOTE: Value entries that already have a Check or Deposit request associated will be automatically omitted when the + New Invoice button is clicked. [screenshot]

  • Include – Select the checkboxes to create an invoice for Fees, Costs, and/or DTF Only. All options are unselected by default. This is a required field.

    • If only Fees is selected, an invoice for all unbilled/not invoiced Value items marked as a Fee (Fixed Fees and Time) attached to the Bill to Party will be created.

    • If only Costs is selected, an invoice for all unbilled/not invoiced Value items marked as a Cost (Case Expenses) attached to the Bill to Party will be created.

    • When both Fees and Costs are selected, and DTF Only is NOT selected, an invoice will be created for both Cost and Fee items, including DTFs.

    • If DTF Only is selected, the Costs checkbox will be unchecked and disabled by default.

    • If Fees is NOT selected, the amount unbilled will show only DTF type Value entries that are invoiceable and unbilled (respecting any other filters that are also applied).

    • If Fees IS selected, the amount unbilled will show DTF type Value entries AND Fees that are invoicable and unbilled (respecting any other filters that are also applied).

  • Bill to – Use the dropdown to select the Party from the current Case for which this invoice should be billed. Bill to is a required field.

  • Within Range – Displays the last 30 days from today's date. When a range is set, unbilled items will show that have a Service End date between this range.

  • Total Selected – The remaining value of all Fees and/or Costs that are due will display. NOTE: If your firm has the "Require Time/Value Approval" Invoicing setting turned on in Firm Preferences, only entries in an Approved status will be included.

3. The new invoice created from the Value view or from the Invoices view will be saved as a draft and immediately opened.

4. Changes can be made to the following fields, unless otherwise noted:

  • Invoice Number – Display the next sequential Invoice number. This number cannot be changed.

  • Bill To – Displays the name listed in the Party field from the Value item.

  • Issue Date – Shows the current date by default.

  • Due Date – Shows 30 days from the current date by default.

  • Description – Enter details about this Invoice. This field is blank by default.

Value entries that are part of an invoice can now be quickly viewed by double-clicking a Value entry in the grid.

Changes can be made to Value entries that are part of an invoice by clicking the kebab menu of an item. Refer to Edit Invoice Value Items and Delete Invoice Value Items for more details.

Fees & Costs Grid

The grid at the bottom of the Invoice Draft shows all Invoices for the selected Value items. Toggle between All, Fees, and Costs to show the breakdown. The total number will display next to each type.

Columns display the End Date of Service of the Value item(s), Provider name, Description (if entered above or from the Memo field of the Value item), Value Code, C/D (Credit or Deposit), Time Spent (from Time entries or when calculating Value Amount), Rate, total Amount, Reduction, Due, Lien (true or false), and UTBMS Expense code.

Totals & Summary Section

The Totals section displays the Total Amount of the Value item(s) and the amount Due (less the Reduction, Adjustments, and Payments).

The Summary section displays all Payments, Adjustments, and Reductions.

5. Click the Submit button to submit the Invoice for approval. The invoice status will be changed from Draft to Pending. Refer to Approve/Deny Invoices for more details.

6. Click the X in the top right to return to the Invoices Tab list view.

NOTE: The invoice draft will be retained unless it is manually deleted.

7. Click Download Invoice in the kebab menu to download the invoice as a LEDES 98B, PDF, or Word file.
