Accessing Text Message Communications

The Communications Center houses interactions with the RingCentral or Zoom Phone Integration, which displays a list of all calls made to/from your firm, and text messages sent to and from your firm.

Using the Communications Center, staff can assign unrecognized phone numbers to contacts in Neos, view/edit text conversations, call contacts, or remove text conversations. The RingCentral or Zoom Phone integration is NOT required to utilize the Text Messages functionality in the Communications Tab.

If your firm has Neos Premium Texting, text messages received by your firm can be assigned to existing Cases/Intakes.

NOTE: While all text messages sent by your firm will display on the Text Messages Tab in the Communications Center, your firm must have Neos Premium Texting to also display SMS/MMS replies and texts received outside of an existing conversation.

NOTE: You will need at least Enabled permissions to General > Communications Center to access the Text Messages tab.

Open the Communications Center by clicking the call icon in the left navigation pane. Select the Text Messages tab. The Text Message tab opens each time to the All view tab, showing all assigned and unassigned text message conversations. Select the Unread toggle to show only new text messages that have not been read. These are marked with a blue dot to the left of the Contact. Select the Unassigned toggle to show only unassigned text conversations.

NOTE: Neos Premium Texting is available for purchase by contacting your Customer Success Manager. Without this premium feature, text message replies will continue to be received to the Staff's email and can be posted back to Neos. Notes added using this standard texting method will NOT display in the Text Messages tab of the Communications Center, nor in the Text Messages tab of the Case/Intake Notes Tab.

Unassigned Text Message Conversations

A warning banner will display the total number of unassigned text messages. These include missing Contact, Case, and/or Topic. Unassigned text messages only occur when a text message is received to your Neos Premium Texting provisioned phone number. Text messages can be assigned individually by clicking the button or in bulk. Refer to Assigning Text Message Conversations for more details.

Search Text Message Conversations

Easily search for text messages using the Search field above the grid. Type in a fragment of the text you wish to find and Neos will locate call records containing your entered text. Conversations can be searched by Contact Name, Phone Number, Staff, Case, and Case Number.

NOTE: Last Reply Date and Last Reply are not included in the search.

View Text Message Conversations

Double-click a text message to open the Text Conversation tab. All texts sent between your firm and the recipient will be contained in the conversation. A copy of each sent text message from Neos will be automatically added to the Notes Tab with a "Text Message" Topic when assigned to a Case/Intake. Received texts will require manually posting email replies to Neos.

With Neos Premium Texting, all outgoing and incoming texts will be automatically added to the Notes Tab with a "Text Message" Topic when assigned to a Case/Intake. Incoming texts sent to your firm can include images that will be available in the Text Conversation Tab and automatically added as a file in the Documents Tab of the assigned Case/Intake.

NOTE: Images received by your firm will only be added to the Text Conversation window & Documents Tab of the assigned Case/Intake once the CaseFiles folder exists in SharePoint, which occurs when at least one document is added to the Case Documents Tab.

Filter Text Message Conversations

Select the Filters button to change your view to a particular Contact, Staff, Case, Topic, Date Range, and/or Last Reply Date Range. Click the Apply button to set your filters. Click the Reset All button to reset all filters, then click Apply to return to the default view. The grid will refresh each time Apply is clicked.

  • Contact – Search to view text conversations assigned to a single Contact.

  • Staff – Select staff members to view text conversations only assigned to specific users.

  • Case – Search to view text conversations assigned to a single Case.

  • Topic – Select the Note Topics to view text conversations by specific topics.

  • Created Date Range – Select the Start and End Date to view text conversations on a single date or date range.

  • Last Reply Date Range – Select the Start and End Date to view the last reply of text conversations on a single date or date range.

Create New Text Message

New text messages can be sent directly from the Communications Tab. Click the + New Text Message button above the grid and enter the required details on the pop-up. Refer to Sending Text Messages for details about the "New Text Message" window.

Text Messages Grid

Columns in the Text Messages grid can be shown or hidden by clicking the kebab menu (three dots) next to any column title. Select the Columns option to expand the full list of columns. Click the checkbox of a column to show or hide it in the grid.

Click a column title to sort the Text Messages grid ascending or descending by that column.

NOTE: Staff and Last Reply columns cannot be sorted.
