Considerations for Changing Microsoft Tenant, SharePoint Site, or Firm Domain

If your firm is considering changing its Microsoft Office 365 tenant, SharePoint Site, or Firm Domain, this article details the procedures that should be considered before making any changes.

Microsoft Tenant

This is your Microsoft 365 account. It includes your Office applications, email service, and SharePoint sites. You can set your 365 tenant to work with multiple domains. Switching the default domain should not have any effect on the links and can be performed by following the steps listed under the Office 365 Domain Changes.

Some tenants purchased through Microsoft partners, such as GoDaddy, offer limited access to admin portals. If your firm is considering switching to a tenant bought directly from Microsoft, be aware that even if you keep the same Domain name and Site names, document links will have a different ID with the new Tenant. Firms should contact Support for assistance with our Professional Services team to relink all Neos document links. NOTE: This service may be billable and will be discussed when you connect with Professional Services.

SharePoint Site

Your firm might be considering renaming the SharePoint Site that contains your documents, e.g., CloudDocs to LawFirmDocs. This change will result in broken Neos document links. Similar to the above, firms are advised to contact Support prior to any changes to coordinate document relinking and avoid additional downtime.

Office 365 Domain Changes

When changing the firm's Office 365 domain, it is advised to first add the new domain as the primary to the existing Office 365 environment.

Ensure that each user has the new domain assigned as their primary alias in Office 365.

Staff Login

Any users that log in with their Staff Code should still be able to log into Neos normally. Users who log in with their email addresses, however rare, will need to use their Staff Code to log in and update their activated email address.

Staff Email

Every user will have to reactivate their email addresses with the new domain. Have each user access their Staff Profile, click the option to disconnect Office 365, then reconnect it with the new primary domain. Ensure they use Incognito or InPrivate windows for this portion to prevent any potential issues with cached credentials.

Calendar Items

All existing Calendar items in Neos will lose their connection to their corresponding Outlook events and will need to be recreated. There is no way around this due to how Microsoft handles event organizers.

Integrations

All firm-wide integrations (Settings -> Integrations) that were configured with Global Administrator accounts on the previous domain will need to be updated and reauthenticated with the new primary aliases for those Global Admin accounts.

SharePoint

Should any changes occur to the firm's SharePoint site, the linked URL in Firm Preferences > Documents should be re-browsed after reactivating the new Global Administrator aliases.

Neos did not encounter any issues with existing document links in the Documents Tab during testing, but please contact Support immediately if your firm has issues with accessing existing documents.
