The Intake feature facilitates quick entry of potential cases. A potential client is interviewed, their information is entered into a user-defined Intake form and assigned to a staff member. Once reviewed, the Intake information can be transferred to a new Case Folder in Neos or archived. Several other functions can be performed directly from the Intake detail view, such as generating documents, creating calendar appointments, adding notes, and assigning checklist items.
NOTE: You must have permission to My Intakes and/or Others' Intakes to access Intakes created or assigned to you and/or intakes created or assigned to other staff.
Click the Intakes icon
on the left navigation pane to open the Browse Intakes Tab.
The center pane of the Browse Intakes Tab contains an updated grid of all Intakes for all staff. Columns may be added or removed using the three dots button to right of each column title.
NOTE: Your firm's migrated Intakes include intakes from the Intakes and Rejected folders.
Browse Intakes contains tabs for Intakes (i.e., list of Intakes), Reports (i.e., Intake reports), and Dashboards (direct access to the Dashboards List). This left pane can be collapsed by clicking the arrow icon.
To view Intakes assigned to other staff, use the Primary Staff filter above the grid to select the assigned to the Intake or choose the Taken Staff filter. Only staff for whom you have Others' Intakes access will be listed in these dropdowns.
Intakes were previously located in one of three folders (Intakes, Rejected, and Deleted). The enhanced Intake feature lists all Intakes in the same "folder" but can easily be filtered by Stage/Status. New and read intakes will be shown with a Stage/Status of Lead > In Progress. Refer to Intake Stage and Status for more details.
Instead of losing information that could be used later, Intakes that are not needed can now be Archived from the meatball (three dots) menu of an Intake. The Archived Status filter defaults to unarchived and archived Intakes. Select the Archived option to only filter for archived Intakes. Select the Unarchived option to only filter for unarchived Intakes.
NOTE: Intakes from your firm's Deleted folder have not been migrated to the enhanced Intake feature.
The Last Activity column shows the time an Intake has been idle, which is defined as the time since the last activity (saved changes).
To add a new Intake, click the New Intake button to display the Create Intake Tab. Intakes from third-party services can be imported using the Import Intake button. You can also add Intakes from the Create menu.
Intakes can quickly be found using filter criteria above the detail list view grid. Neos displays the following default filters: Party Name, Primary Staff, and Stage/Status.
Click the More field to add additional filters: Taken Staff, Archived Status, Batch Number Intake Date Range, DOI Date Range, Case Type Code, and Source. Filter criteria is automatically saved by user. Click the Apply button to filter Intakes using the entered criteria. Click the Clear filters button to reset all filters.
Select an Intake to view a side preview pane. The Intake number will be displayed at the top with the Party(ies) list below. The current Intake Stage will display in the header.
Click the add icon
to display the Quick Actions menu. Click the View button to open the detail view of the Intake. You may also click anywhere in the Parties section of the preview pane to open the Intake detail view. Click the close icon
to close the preview pane.
Double-click the Intake to bypass the preview pane and display the detail view of that Intake. Once an Intake has been opened, it will be marked "read" and will no longer display in bold within the grid.
