In 2007, Microsoft® adopted a new format for saving Office files as XML by adding the "x" for .doc, .xls, and .ppt files. This new format allows for smaller file sizes, less chance of corruption and improved compressed images. While it is possible to save documents in the older format (e.g., .doc), when accessing such documents in Neos, some important steps must be performed to avoid duplicates from being created.
Currently, older files extensions (e.g., .doc) cannot be opened from Neos. To open the document, navigate to your firm's SharePoint folder for a Case (Neos Case Documents Tab > Settings > Open in SharePoint©).
When opening a Microsoft file saved in the older file extension, your document is automatically shown in Compatibility Mode. This temporarily disables any new Word features, so the document can be edited by others in earlier versions of Word and preserves the document's layout.
To get the document out of Compatibility Mode, go to File > Info and click the Convert button.
Click the OK button to proceed with the conversion process.
Because the original file (e.g., "Fax Cover to Records Tab Provider.doc") cannot be opened from the Case Documents Tab, to avoid a duplicate document from being created (e.g., "Fax Cover to Records Tab Provider 1.docx") due to relinking or importing in Neos, simply click Save As to save the converted Microsoft file in the new file extension (e.g., .docx).
The Case Documents Tab in Neos will contain both the original (.doc) and new (.docx) files. You may choose to remove the .doc file, which will also remove the file from your firm's Case Folder in SharePoint.
