Advanced Search Results Grid

This article describes how to customize the results section from your Advanced Search query. With the enhanced Intake feature, you have additional columns to customize reports by Intakes, Intakes and Cases, Marketing Campaign, and Marketing Source.

NOTE: You must have at least Enabled permissions to General > Advanced Search to access.

After a Search query has been run, the filters screen will automatically collapse, showing the results grid. Quickly return to your filters by clicking the Edit Filters button above the grid. The Filter screen can also be collapsed without running your search by clicking the Close Filters button at the bottom of Advanced Search.

The results section shows default columns in a new, modern grid. The total number of entries is displayed below the grid, in the middle.

NOTE: Single-clicking anywhere in a row will not select that result row. To select a row (e.g., for Bulk Actions), the checkbox must be clicked.

All Case numbers now have a hyperlink where the case can be opened with a single click.

Double-clicking a result will open the detail view of that item. This applies to the following areas:

  • Checklist – Opens the Checklist Preview Pane of the selected Checklist item.

  • Messages – Opens the Message Details Tab of the selected Message.

  • Case Records – Opens the Case Tab of the selected Case.

  • Provider – Opens the General Tab of the Provider Card.

  • Neos Dashboard – Opens any of the above locations when clicking an entry from a saved Advanced Search query that is used in a Table tile within My Dashboards.

  • Counsel – Opens the Counsel Tab detail view.

  • Insurance – Opens the Insurance Tab detail view.

  • Negotiations – Opens the Negotiations Tab detail view.

  • Notes – Opens the Notes Tab detail view.

  • Parties – Opens the Party Tab detail view.

  • Accident Information – Opens the Accident Information Tab detail view of the selected entry.

  • Case Documents – Opens the Document detail view within the selected Case.

  • Check Request – Opens the Value entry for that check request.

  • Police – Opens the Police Tab detail view.

  • Time – Opens the Time Tab detail view.

  • User Tabs 1-10 – Opens the selected User Tab detail view.

  • Value Transaction - Opens the Value entry detail view.

  • Invoices – Opens the Invoice detail view within the Value Tab of the Case.

  • Staff Profile – Opens the Staff Profile Tab of the selected Staff.

Print Results Grid

Click the Print button to display a print preview window of the current grid with column headings. Specify your destination printer, settings, and click the Print button.

Click the More settings text to display additional print options. The Print using system dialog option, which contains your printer's Scale to Fit setting, can only be used in Edge or Firefox.

Results Grid Columns

There is one location to add (select) or remove particular columns in Advanced Search. Click the Columns button on the top right, above the grid to get started.

Available columns, based on your search criteria, open in a separate window for easier viewing. Use the Search… row to quickly find a column by its name. Columns are grouped by category of the selected primary record. Click the right arrow to expand each group of columns. Click the checkbox next to each column to add it to the Selected list and the results grid. To remove a column from the grid, click the X next to the Column Title in the Selected list. Columns can be reordered directly in the Choose Columns window, and when saved, will be reflected in the results grid. Column changes will trigger the Save Changes button on a saved report and will also apply in exports, subscriptions, and tiles.

At least one column must be selected (checked) in order to access the Save button.

Each search record contains columns tailored to that particular record. While you can specify filter criteria using any field, only the columns that relate to the selected record will be available in the results grid. For example, when the Parties record is selected in Advanced Search, you may decide to filter results where Value Items > Balanced Due is greater than zero. The results grid will filter appropriately, but in order to view Value-related columns in the grid, you must change the Search for record to Value.

Columns related to the updated Intake feature will be available when using the Intake or Intake and Cases search criteria. These columns include Intake Number, Intake Date, Intake Taken By Staff Code, Intake Name, Conflict Check, etc.

Additional columns that relate to counts are now included. For example, when viewing a list of cases by a certain Case Type, you can add count columns, such as Party Count and Document Count to see the number of parties and document records in each case. Click the column heading to sort ascending or descending by count. Count filters can also be set when Building Advanced Search Criteria.

Two columns related to Calendar are now included. These include "Location" and "Notes" (Description field) as default columns when searching for Calendar. Only Location can be sorted and grouped.

Three Email-related columns have been added when conducting an Advanced Search for Notes. These columns pertain to the enhancement for emailed notes.

Columns have been added when conducting an Advanced Search for a Name, Party, or Provider default email address, default phone number, and default address.

A new Provider Roles column has been added when conducting a contact search for Names, Party, Provider, Insurance, Police, Counsel, or Negotiations. The column allows all Provider Roles for the contact to be displayed separated by commas.

Columns can be rearranged by clicking the column name to drag and drop anywhere within the grid or from the Choose Columns window. Refer to Using Columns, Grids and Tabs for more details.

Individual columns can be resized manually by placing your cursor at the right edge of a column. Click to increase or decrease the column width.

User Defined Date and Date/Time fields have been updated to ensure proper column sorting of date and time, making it easier to organize and analyze information.

Usability Options

Usability options have been added to the grid for an improved user experience. Click the kebab menu to display a pop-up window for autofit, sort, group by, and summarize.

  • Autofit all columns – Resizes all columns based on the data length.

  • Autofit this column – Resizes the selected column based on the data length.

  • Group by this column – Groups the same values together. Click the greater than arrow icon to expand each grouping for individual rows.

  • Summarize – Inserts a label and calculation at the bottom of the Advanced Search screen for the selected column. Summaries can be added for multiple columns and are available on columns with numbers or dates. When printing, summaries will be shown when the column is visible in the print preview for the selected page layout. The Summarize menu has now been added for the 'Time Spent' and 'Billable Time' columns when conducting an Advanced Search for Time. An additional Aggregation menu will display for these columns if time has been grouped. These applied options will remain when the query is saved, exported, or printed. When saved, these applied options will also display in a Table tile in My Dashboards.

Right-Click Menu

Data from a row can be copied and exported using the right-click menu.

NOTE: The Copy option is disabled on the top-level of a grouped column.

  • Copy – Data in the entire row will be copied to your clipboard and can be pasted elsewhere. Copied data does not include column headings.

  • Export – Quickly export the current view of data into an Excel, CSV, or PDF format. Scroll down in the results to export additional rows. To export the entire report, click the Export button on the top right of the Advanced Search tab.
